Fleet Management

- Monitor the daily availability and operational status of all trucks.
- Maintain updated records of all company and attached vehicles.
- Coordinate with the Operations Team for vehicle deployment and availability.
- Track vehicles under maintenance, breakdown, or awaiting repair.
- Ensure maximum vehicle utilization and minimum idle time.
- Maintain daily fleet status reports.

2. Preventive Maintenance

- Prepare and maintain vehicle-wise preventive maintenance schedules.
- Track servicing based on kilometres, engine hours, or scheduled intervals.
- Ensure timely servicing of trucks and trailers.
- Follow up with drivers and workshops for vehicles due for maintenance.
- Monitor recurring vehicle problems and coordinate corrective action.

3. Breakdown Management

- Coordinate immediate action in case of vehicle breakdowns.
- Communicate with drivers, mechanics, workshops, and service centres.
- Arrange roadside assistance and emergency repairs when required.
- Track breakdown resolution until the vehicle is back in operation.
- Maintain a breakdown register with the reason, repair details, cost, and downtime.

4. Workshop Coordination

- Coordinate with internal and external workshops for vehicle repairs.
- Raise maintenance/repair requirements and follow up on pending jobs.
- Check repair progress and expected vehicle release time.
- Ensure vehicles are properly inspected before being released from the workshop.
- Verify that the actual repair work matches the work order.

5. Spare Parts & Inventory

- Coordinate the requirement and availability of spare parts.
- Maintain records of spare parts issued and consumed.
- Coordinate with the Stores/Purchase Department for timely procurement.
- Monitor fast-moving and critical spare parts.
- Avoid unnecessary replacement and wastage of parts.

6. Tyre Management

- Monitor tyre condition, pressure,



tread depth, and wear.
- Maintain vehicle-wise tyre records.
- Track tyre rotation, replacement, repair, and retreading.
- Monitor tyre life and identify abnormal wear.
- Coordinate tyre replacement and repair with approved vendors.

7. Battery & Lubricant Management

- Monitor battery condition and replacement requirements.
- Maintain battery issue and replacement records.
- Monitor engine oil, coolant, brake oil, grease, and other lubricants.
- Ensure scheduled replacement of oils and filters.
- Track lubricant consumption and identify abnormal usage.

8. Vehicle Inspection

- Conduct regular physical inspections of trucks.
- Check basic mechanical, electrical, tyre, lighting, braking, and safety conditions.
- Ensure vehicles are fit for operation before dispatch.
- Report major defects to the Fleet Manager immediately.
- Maintain vehicle inspection checklists.

9. Driver Coordination

- Take regular feedback from drivers regarding vehicle condition.
- Ensure drivers report vehicle defects and breakdowns immediately.
- Educate drivers regarding daily vehicle checks and basic vehicle care.
- Follow up on driver complaints related to vehicle performance.
- Monitor damage caused due to negligence or improper vehicle handling.

10. Vehicle Documentation

- Maintain records of:
- RC
- Insurance
- Fitness Certificate
- Permit
- PUC
- Tax
- National/State Permit, wherever applicable
- Service and maintenance records




- Track expiry dates and coordinate timely renewal with the concerned department.
- Ensure required documents are available before vehicle deployment.

11. Maintenance Cost Control

- Maintain vehicle-wise maintenance expense records.
- Verify workshop bills, spare-part bills, labour charges, and repair expenses.
- Compare repair estimates with actual expenses.
- Monitor maintenance cost per vehicle and per kilometre.
- Highlight unusual or excessive expenses to management.

12. Vehicle Downtime Monitoring

- Maintain a daily list of vehicles under repair.
- Monitor the duration of each vehicle's downtime.
- Follow up with workshops to minimize repair delays.
- Escalate long-pending repairs to the Fleet Manager.
- Prepare vehicle downtime reports.

13. Record Keeping & MIS

Prepare regular reports such as:

- Daily fleet availability report
- Vehicle maintenance due report
- Breakdown report
- Vehicle downtime report
- Maintenance expense report
- Tyre report
- Battery report
- Spare parts consumption report
- Vehicle fitness/document expiry report

14. Coordination with Accounts & Purchase

- Submit verified maintenance bills and supporting documents to Accounts.
- Coordinate with Purchase for spare parts and maintenance materials.
- Ensure proper approval and documentation before major repairs.
- Maintain records of vendor quotations and invoices.

15. Safety & Compliance

- Ensure vehicles are maintained according to company safety standards.
- Ensure unsafe vehicles are not deployed for operations.
- Report critical mechanical or safety defects immediately.
- Follow workshop and vehicle maintenance safety procedures.
- Support compliance with applicable transport and vehicle regulations.

Pay: ₹18,000.00 - ₹25,000.00 per month
