Position Overview:
We are seeking a highly organized, detail-oriented, and professional Executive Assistant to support the Director of Maharana Pratap Group of Institutions. The ideal candidate will have exceptional communication skills, both spoken and written in English, and be highly proficient with computer applications. The Executive Assistant will serve as the Director's right hand, handling a wide range of administrative tasks to ensure smooth and efficient operations.
Key Responsibilities:
1. Administrative Support:
- Provide executive-level administrative support to the Director, including scheduling meetings, managing calendars, and organizing travel arrangements.
- Prepare and proofread reports, presentations, and correspondence.
- Manage incoming communications (emails, phone calls, etc.) and direct them to appropriate parties in a timely manner.
- Organize and maintain files and records, ensuring confidentiality and easy retrieval of documents.
2. Communication Management:
- Draft, proofread, and send professional communications on behalf of the Director.
- Act as a liaison between the Director and other departments, stakeholders, and external partners.
- Handle sensitive information and confidential matters with discretion and professionalism.
3. Event Planning and Coordination:
- Assist in the coordination and planning of events, meetings, and conferences.
- Manage logistics, including venue booking, travel arrangements, guest lists, and catering.
4. Office Organization and Documentation:
- Maintain an organized and productive office environment.
- Manage filing systems, ensuring proper categorization of documents.
- Support the Director in the preparation of budgets, reports,
and other necessary documents.
5. Technology Management:
- Utilize computer applications (Word, Excel, PowerPoint, Google Suite) and organizational tools to assist the Director in day-to-day operations.
- Perform data entry, generate reports, and track project progress using digital tools.
6. General Support:
- Handle ad-hoc tasks as required by the Director.
- Ensure the Director is well-prepared for meetings, including gathering relevant documents and background information.
- Follow up on action items and ensure deadlines are met.
Qualifications:
- Education: Bachelor's degree in any discipline (preferred).
- Experience: Minimum of 2-3 years of experience in an administrative role, preferably as an Executive Assistant or Personal Assistant.
Skills:
- Excellent proficiency in both written and spoken English.
- Strong computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
- Exceptional organizational skills and attention to detail.
- Ability to handle multiple tasks simultaneously in a fast-paced setting.
- Strong problem-solving skills and ability to work independently.
- Professional demeanor and ability to maintain confidentiality.

Job Type: Full-time
Pay: ₹20,000.00 - ₹50,000.00 per month
