Job Purpose
The Executive Assistant will provide high-level administrative, organizational, and strategic support to senior leadership, ensuring seamless execution of day-to-day business operations. This role requires exceptional planning, communication, stakeholder management, and problem-solving skills, with the ability to handle confidential information with utmost professionalism and discretion. The candidate will act as a trusted partner to the executive team, managing complex calendars, coordinating meetings and travel arrangements, preparing reports and presentations, facilitating cross-functional communication, and driving operational efficiency. The role demands strong attention to detail, proactive decision-making, and the ability to thrive in a fast-paced and agile environment.
Key Responsibilities:
- Manage executive calendars, schedule meetings and coordinate appointments across time zones.
- Handle executive email and communication, including drafting and responding to messages.
- Organize and maintain digital files, records and documentation.
- Prepare reports, presentations and meeting materials.
- Coordinate virtual meetings, including setting agendas and taking minutes.
- Assist with travel arrangements, itineraries and expense tracking.
- Provide transaction and expense management support.
- Manage CRM systems, including client onboarding and data management.
- Support project coordination and follow up on action items.
- Conduct basic research and compile data as needed.
- Liaise with internal teams, clients and external stakeholders.
- Perform general administrative tasks to ensure smooth day-to-day operations.
Skills and Abilities:
- 1–2 years’ experience as an executive assistant, administrative assistant (operations) or in a similar role. Strong organizational and time management skills.
