Role Summary
The Microsoft 365 Domain Specialist role is accountable for the day-to-day operation, governance, and continuous improvement of core Microsoft 365 services, with a strong focus on SharePoint Online, Microsoft 365 Copilot, and associated collaboration platforms.
Working closely with Architecture, Service Management, Security, and external partners, the role ensures M365 services are secure, secure, and aligned to enterprise standards. The focus is on platform operations, adoption support, and governance rather than deep solution design or development.
The role ensures SharePoint and M365 services continue to deliver a consistent, high-quality user experience while supporting safe and effective adoption of Copilot and light-touch automation capabilities through the Power Platform.
Key responsibilities
M365 Platform Operations and Governance
- Support the in-life management of Microsoft 365 services including SharePoint Online, Teams, OneDrive, and related collaboration tools.
- Ensure services operate within agreed security, compliance, and governance frameworks.
- Work with architecture and security teams to maintain alignment with enterprise standards and policies.
- Support service reviews, reporting, and continuous improvement initiatives.
SharePoint and Collaboration Services
- Act as the primary domain specialist for SharePoint Online, supporting site lifecycle, structure, permissions, and governance.
- Ensure best practices for content management, document collaboration, and site design are followed.
- Support business users in onboarding, adoption, and effective use of SharePoint capabilities.
- Assist with managing integrations between SharePoint, Teams, and OneDrive.
Copilot Enablement and Adoption
- Support the rollout and day-to-day operation of Microsoft 365 Copilot across key workloads.
- Ensure readiness of SharePoint and M365 data sources for Copilot consumption, aligned with security and compliance controls.
- Work with stakeholders to promote safe and effective use of Copilot features to improve productivity.
- Monitor usage trends and support feedback loops for continuous improvement.
Power Platform Support
- Provide basic support for Power Platform components (Power Automate, Power Apps) used within M365 workflows.
- Assist with governance and oversight of low-code solutions to ensure alignment with organisational policies.
- Support citizen developers with guidance on best practices and platform usage.
Operational Support and Service Management
- Ensure operational readiness including documentation, runbooks, and support processes are maintained.
- Work with service teams and vendors to resolve incidents and manage escalations.
- Support service performance monitoring, including availability, usage, and user experience.
- Contribute to service improvement plans and operational reporting.
Stakeholder Engagement
- Work with business users, product owners, and technical teams to understand requirements and improve service outcomes.
- Act as a bridge between business needs and platform capabilities.
- Support communication and training initiatives to drive adoption of M365 services.
Evergreen Platform Management
- Work closely with Operations and Engineering teams to review and assess new Microsoft Message Center notifications.
- Translate upcoming changes into actionable plans, ensuring timely validation, testing, and communication.
- Coordinate implementation activities to minimise user or service impact.
- Ensure changes are deployed in alignment with governance, security, and release management standards.
- Maintain the Microsoft 365 platform in an evergreen state by proactively managing updates, features, and service changes.
About you
Essential
- Experience supporting Microsoft 365 services, particularly SharePoint Online and collaboration tools.
- Working knowledge of Microsoft 365 Copilot capabilities and adoption considerations.
- Basic understanding of Power Platform (Power Automate, Power Apps) in a business context.
- Experience working in an operational or service management role within an enterprise environment.
- Understanding of governance, security, and compliance considerations within M365 (e.g., access control, data handling).
- Strong stakeholder engagement and communication skills.
- Ability to work with external vendors and managed service providers.
Preferred
- Exposure to SharePoint governance models, site lifecycle management, and content organisation.
- Familiarity with Copilot readiness concepts such as data access, permissions, and compliance alignment.
- Basic knowledge of Power Platform governance or Centre of Excellence practices.
- Awareness of ITIL or service management frameworks.
- Experience supporting adoption or change initiatives within digital workplace platforms.
