? Job Description – Head of Department (Import)

Position: Head of Department – Import

Location: Kundan House, Borivali East (Head Office) / Malad West (Branch Office)

Reporting To: Director

Educational & Skill Requirements

- Graduate/Postgraduate with Diploma in Foreign Trade
- Strong command of English & Hindi (verbal and written)
- Proficiency in Excel, Word, Tally, ERP systems for order management
- Knowledge of IDPMS, FEMA, DGFT, Customs Act, GST, RBI guidelines
- Mandatory: Understanding of preferential trade agreements such as FTA, CEPA, and AIFTA, including rules of origin, certificate of origin requirements, and duty concession applicability

Key Responsibilities

Import Operations

- Lead and oversee all import activities from purchase order creation (Tally/ERP) to IDPMS closure.
- Ensure compliance with RBI’s IDPMS reporting for timely settlement of import payments.
- Supervise supplier coordination for import documentation (BL, SB, PL, COO, COI, MSDS, TDS, COA).
- Manage CHA and shipping line coordination for customs clearance; resolve gaps proactively.
- Authorize and monitor custom duty payments via ECL Wallet system.
- Oversee LC documentation and ensure smooth banking transactions.
- Implement SOPs for documentation, record-keeping, and MIS reporting.
- Calculate and validate landed cost of shipments; reconcile with ERP/Tally.

High Seas Transactions

- Negotiate and execute High Seas Sale Agreements with buyers/suppliers.




- Ensure compliance with customs valuation and GST applicability on high seas sales.
- Maintain documentation trail for audit and statutory purposes.

FTA/CEPA/AIFTA Compliance

- Apply preferential duty perks under FTAs, CEPAs, and AIFTA agreements.
- Verify and manage Certificates of Origin (Form D for AIFTA, CEPA-specific formats).
- Ensure compliance with Rules of Origin (minimum value addition thresholds).
- Train team on correct application of trade agreements to reduce landed cost.
- Monitor DGFT and customs notifications related to trade agreements.

Local Procurement

- Plan, coordinate, and raise local purchase orders in Tally until material reaches warehouse.
- Ensure smooth coordination between import, accounts, and warehouse teams.

Leadership & Compliance

- Lead the import team, assign responsibilities, and monitor KPIs (clearance time, demurrage, accuracy).
- Conduct training sessions on compliance updates (DGFT notifications, customs circulars, trade agreements).
- Represent the company in audits, inspections, and compliance reviews.

Performance Indicators

- 100% compliance with IDPMS timelines
- Reduction in demurrage and clearance delays
- Accuracy of landed cost calculations
- Successful execution of high seas transactions
- Effective application of FTA/CEPA/AIFTA duty concessions
- Team training and SOP implementation
