PROJECT ADMINISTRATOR – JOB DESCRIPTION
ROLE SUMMARY
The Project Administrator provides administrative and coordination support across assigned projects. The role is responsible for maintaining project documentation, tracking schedules and deliverables, coordinating meetings, communicating with stakeholders, and ensuring project information is accurate and up to date.
KEY RESPONSIBILITIES
Support the Project Manager with daily project coordination and administration.
Maintain project plans, schedules, trackers, registers, and records.
Monitor project milestones, deadlines, action items, and deliverables.
Arrange project meetings, prepare agendas, record minutes, and follow up on actions.
Coordinate communication among internal teams, clients, contractors, suppliers, and other stakeholders.
Prepare project reports, presentations, correspondence, and supporting documents.
Maintain proper document control, version history, approvals, and filing systems.
Assist with purchase orders, invoices, expenses, budgets, and payment documentation.
Coordinate project resources,
travel, site visits, materials, and logistical requirements.
Maintain risk, issue, change, and compliance registers.
Ensure project activities comply with company procedures, contractual requirements, and quality standards.
Identify delays, missing information, and administrative issues and escalate them to the Project Manager.
Assist with project handover, close-out documentation, and lessons-learned records.
Maintain the confidentiality of company, client, employee, and project information.
QUALIFICATIONS AND EXPERIENCE
Bachelor’s degree or diploma in Business Administration, Project Management, Engineering, Construction Management, or a related field.
Two to four years of experience in project administration, project coordination, document control, or a similar role.
Experience supporting multiple projects in a deadline-driven workplace.
