Job Purpose

The Customer Service Executive will be responsible for ensuring seamless order processing and customer coordination from receipt of Purchase Orders (POs) through dispatch and delivery. The role requires solid communication skills, attention to detail, and effective coordination with customers, sales, logistics, and warehouse teams to ensure timely order fulfilment and customer satisfaction.

Key Responsibilities

1. Order Management
- Receive and acknowledge customer Purchase Orders (POs).
- Verify POs for pricing, product specifications, quantities, delivery terms, taxes, and commercial conditions.
- Coordinate with the Sales Team to clarify discrepancies or amendments in customer orders.
- Enter and maintain order details accurately in the ERP/system.

2. Order Processing & Dispatch Planning
- Coordinate with inventory, warehouse, and logistics teams to ensure product availability.
- Plan dispatch schedules based on customer requirements and stock availability.
- Monitor order status and ensure timely execution of deliveries.




- Coordinate transportation arrangements and shipment documentation.
- Track dispatches and provide timely updates to customers and internal stakeholders.

3. Customer Coordination
- Act as the primary point of contact for customers regarding order status, deliveries, and product availability.
- Handle customer inquiries, complaints, and service requests professionally.
- Maintain regular communication with customers to ensure high levels of satisfaction.
- Build and maintain strong customer relationships.

4. Documentation & Reporting
- Maintain records of orders, dispatches, customer communications, and service requests.
- Prepare periodic reports on order status, pending deliveries, and customer feedback.
- Support invoice coordination and follow-up on documentation requirements.

5. Cross-Functional Coordination
- Work closely with Sales, Logistics, Warehouse, and Procurement teams.
