Job description
Overview
We are seeking a dynamic and detail-oriented Project Coordinator to join our team. This role bridges project execution and resource optimization within our organization. You will support project managers by maintaining schedules and tracking progress while simultaneously optimizing team capacity and assigning personnel strategically to ensure project success. In addition, you will contribute to various project management workstreams and support program managers with day-to-day activities as needed.
Responsibilities
Daily Resourcing Data Entry and Management
- Maintain accurate and up-to-date resource information in Workfront for all active projects that you are assigned too.
- Input staffing data, availability, and assignments daily
- Validate data accuracy and flag discrepancies for program manager review
Monthly Forecasting Meetings and Resource Planning
- Attend and coordinate monthly forecasting meetings with program managers and department leads
- Translate forecasting discussions into detailed resource plans in Workfront
- Consolidate resource needs across multiple brands and departments
Day-to-Day Resource Forecasts and Reports
- Generate resource availability reports and labor forecasts via Workfront or PowerBI
- Identify resource gaps and potential conflicts in real-time
- Prepare comprehensive resource forecast reports with data-driven recommendations
Data Adjustment and Optimization
- Adjust resource data based on project changes and business needs
- Optimize workload distribution and rebalance staffing as needed
- Reconcile discrepancies between planned and act
