About the Role
The Travel Documentation Executive - Fleet Personnel is responsible for managing and maintaining all travel, crew, and maritime documentation related to officers and crew members. The role ensures timely preparation, verification, uploading, and updating of personnel records within the Shipmate system, while supporting vessel crew changes, DG Shipping compliance requirements, and overall fleet personnel administration. The incumbent will coordinate closely with Masters, vessel management teams, manning partners, and crew members to ensure seamless crew mobilization and regulatory compliance.

Responsibilities

Crew Documentation & Administration
Handle and maintain complete documentation records for officers and crew members.
Prepare, verify, and process pre-joining documentation for seafarers.




Prepare extension letters, promotion letters, increment letters, and other employment-related documentation.
Ensure all crew records are accurately maintained and updated in accordance with company and regulatory requirements.
Coordinate documentation requirements for crew joining, relieving, and vessel transfers.

Shipmate System Management
Upload and maintain all officer and crew documentation within the Shipmate crewing management system.
Manage and update crew planning schedules in Shipmate.
Maintain salary profiles, employment records, and personnel data.
Process sign-on and sign-off activities within the system.
Update and monitor crew bank account details and payroll-related information.
Ensure data accuracy by carrying out periodic reviews, corrections, and validations within the Shipmate database.
