About the job
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the MD ‘s office. The ideal candidate should possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a rapid-paced environment.
The Executive Assistant/Secretary will play a pivotal role in maintaining smooth operations and facilitating efficient communication within the organization.
Responsibilities
· Provide administrative support to the Exec Dir & MD, including managing calendars, scheduling appointments, and arranging meetings.
· Coordinate travel arrangements, including flight bookings, hotel accommodations, transportation arrangements and process expense reports.
· Prepare and edit correspondence, presentations, and reports as required.
· Act as the primary point of contact for internal and external stakeholders, including visitors.
· Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents.
· Assist in preparing agendas and taking minutes during meetings, as well as follow-up on action items.
· Handle confidential information with discretion and always maintain confidentiality.
