The Telephone Operator is responsible for managing all incoming and outgoing telephone communications of the hotel. The role ensures prompt, courteous, and accurate handling of guest calls, internal communication, wake-up calls, and information requests while maintaining high standards of service and confidentiality.
Key Responsibilities Telephone Handling Communication
- Answer all incoming calls promptly in a qualified and courteous manner.
- Route calls to appropriate departments or guest rooms efficiently.
- Handle internal and external communication with accuracy and clarity.
Guest Services Support
- Assist guests with information regarding hotel services, facilities, and timings.
- Handle guest requests such as wake-up calls, messages, and room inquiries.
- Ensure timely delivery of guest messages and communication.
Wake-up Call Management
- Schedule and execute wake-up calls accurately as per guest requests.
- Maintain wake-up call logs and ensure timely follow-up.
- Coordinate with Front Office in case of system issues or special requests.
Message Handling
- Record and relay messages accurately to guests and staff.
- Ensure confidentiality of guest information at all times.
- Deliver urgent messages promptly to concerned departments or guests.
Front Office Coordination
- Coordinate with Front Desk, Concierge, Housekeeping, and other departments for guest requests.
- Support Front Office in handling guest complaints or urgent requirements via telephone.
- Assist in emergency communication procedures when required.
System Operation
- Operate hotel telephone exchange systems and communication software.
- Maintain call records, logs, and reports using PMS or telecom systems.
- Ensure smooth functioning of communication equipment.
Complaint Handling Service Recovery
- Handle guest complaints received via telephone with professionalism.
- Escalate issues to the appropriate department for resolution.
