Job Summary
The Sales Coordinator is responsible for supporting the sales team in achieving business goals by managing administrative tasks, coordinating with clients, preparing sales documents, and ensuring smooth communication between internal departments. This role is essential for maintaining strong client relationships and ensuring timely order processing and dispatch.
Key Responsibilities
1. Client Relationship Management
- Act as the primary point of contact for clients and address inquiries promptly.
- Build and maintain strong, professional relationships with existing and potential clients.
- Provide accurate product and service information to clients as needed.
2. Sales Documentation & Reporting
- Prepare and issue accurate quotations, proforma invoices, and final invoices.
- Maintain and update sales records, customer databases, and order tracking sheets.
- Generate daily, weekly, and monthly sales reports for management review.
3. Sales Team Support
- Assist the sales team with administrative tasks, order processing, and follow-ups.
- Coordinate between sales, production, logistics, and finance teams to ensure seamless order execution.
- Support the team in preparing presentations, proposals, and tender documents.
4. Communication & Coordination
- Facilitate transparent communication between internal departments for smooth sales operations.
- Follow up with clients regarding payments, order updates, and required documentation.
- Handle client complaints professionally or escalate them to the appropriate team.
5. Dispatch & Logistics Coordination
- Coordinate with the logistics/dispatch team to ensure timely delivery of goods.
- Track shipments and provide customers with regular updates.
- Ensure dispatch documents (DC, Invoice, E-way Bill, etc.) are prepared accurately.
