We are looking for a Customer Care Representative who will be the first point of contact for our patients. This role is ideal for someone who has previously worked as a Receptionist or Front Desk Executive in a skin, aesthetic, dermatology, or cosmetic clinic and understands the importance of delivering an exceptional patient experience.
The candidate should possess excellent communication skills, understand aesthetic treatments and consultation workflows, and have the ability to efficiently manage appointments while ensuring a seamless patient journey.
Key Responsibilities
- Handle all incoming calls professionally and courteously.
- Book, reschedule, and manage patient appointments across doctors and therapists.
- Understand the consultation journey for skin and aesthetic treatments and guide patients appropriately.
- Provide accurate information regarding consultations, treatment categories, clinic timings, and appointment availability.
- Ensure correct appointment allocation based on the patient's concern and treatment requirement.
- Coordinate between patients, doctors,
therapists, and clinic teams for smooth appointment management.
- Follow up with missed calls and patient enquiries in a timely manner.
- Maintain high standards of customer service and patient satisfaction.
- Manage appointment confirmations and assist in reducing no-shows and cancellations.
- Handle patient queries with empathy, professionalism, and confidentiality.
- Maintain accurate records of appointments and patient interactions using clinic software.
- Coordinate with clinic teams for schedule changes and doctor availability.
- Escalate patient concerns or grievances to the appropriate team members whenever required.
Desired Candidate Profile
- Minimum 1–3 years of experience working as a Receptionist, Front Desk Executive, or Customer Care Executive in a Skin, Aesthetic, Dermatology, Cosmetic, or Wellness Clinic.
- Solid understanding of consultation appointments, treatment protocol
