Onboarding Specialist – US Staffing

Work Location: Remote

Reporting to: Delivery Manager and US Management

Roles and Responsibilities

* Manage the complete onboarding process for consultants placed with US clients and implementation partners.

* Coordinate closely with the Delivery Manager, consultants, vendors, and US management.

* Collect, review, and maintain all onboarding and compliance documents.

* Ensure timely completion of background checks, drug screening, employment verification, and client-specific requirements.

* Coordinate the completion of Form I-9, E-Verify, W-4, direct deposit, and other employment documents for W-2 consultants.

* Collect required documents from C2C vendors, including agreements, W-9, Certificate of Insurance, incorporation documents, and work authorization records.

* Verify consultant pay rates, bill rates, employment type, work location, start date, and reporting details before onboarding.

* Prepare and coordinate employment agreements, offer letters, work orders, and consultant documentation.





* Track work authorization documents, including H-1B, OPT, STEM OPT, Green Card, and other applicable statuses.

* Maintain an onboarding tracker and provide regular status updates to the Delivery Manager and US management.

* Follow up with consultants and vendors to close pending documentation within the required timelines.

* Coordinate with client or vendor onboarding teams to complete portals, compliance forms, and system access requirements.

* Share confirmed start-date instructions and first-day reporting information with consultants.

* Ensure all records are accurately maintained in the company’s ATS, CRM, shared drive, or onboarding system.

* Coordinate with payroll and accounts teams to ensure consultants are set up correctly before their start date.

* Escalate delays, discrepancies, compliance concerns, or document deficiencies to management immediately.
