We are looking for a responsible, organized, and people-smart Administration Manager to oversee the day-to-day operations of our spine surgery clinic. This is a senior support role — you will be the operational backbone of the clinic, ensuring patients are well-attended, staff are coordinated, and the doctor's time is used efficiently. Key Responsibilities Clinic Operations Oversee smooth daily functioning of OPD — from patient arrival to exit Manage patient registration, appointment scheduling, and queue management Ensure all patient records (digital + physical) are maintained accurately and confidentially Coordinate with Max Hospital, Nagpur for referrals, admissions, and surgical scheduling Staff Management Supervise front desk staff, physiotherapy team, and support staff Assign daily duties and ensure all team members are present and performing Handle staff attendance, leave tracking, and basic HR coordination Report staffing issues and requirements to the doctor Finance & Billing Oversee daily cash collection, fee receipts,



and petty cash Maintain daily MIS reports — patient count, collections, pending follow-ups Coordinate with accounts/CA for monthly billing summaries Handle insurance empanelment paperwork and patient insurance queries Patient Experience Ensure waiting area, consultation rooms, and physiotherapy area are well-maintained Resolve patient grievances calmly and professionally Manage patient communication via WhatsApp Business and phone Ensure clinic timings, policies, and pricing are communicated clearly Vendor & Facility Management Manage procurement of stationery, medical consumables, and housekeeping supplies Liaise with vendors, service providers, and equipment maintenance teams Maintain inventory and reorder stock as needed Digital & Admin Tasks Maintain data on Excel/Google Sheets — appointments, collections, staff records Coordinate social media-related patient queries in coordination with the marketing team Assist in drafting notices, cir
