Job Summary

We are seeking a proactive and detail-oriented Purchase and Dispatch Executive to manage procurement activities and ensure the timely dispatch of pharmaceutical products. The candidate will be responsible for sourcing materials, coordinating with vendors, maintaining inventory, preparing dispatch documentation, and ensuring compliance with GMP, GDP, and company SOPs.

Key Responsibilities

Purchase
- Source and evaluate vendors for Active Pharmaceutical Ingredients (APIs), excipients, packaging materials, engineering spares, consumables, and other indirect materials.
- Obtain quotations, compare prices, negotiate commercial terms, and prepare purchase orders.
- Follow up with suppliers to ensure timely delivery of materials and resolve supply-related issues.
- Coordinate with Production, Stores, Quality Assurance (QA), Quality Control (QC), Planning,



and Accounts departments.
- Monitor inventory levels and initiate procurement to prevent stock shortages and production delays.
- Maintain vendor master data, purchase records, and procurement reports in the ERP system.
- Evaluate supplier performance based on quality, delivery, cost, and service.
- Ensure procurement activities comply with company policies and applicable regulatory requirements.

Dispatch
- Plan and coordinate the dispatch of finished pharmaceutical products to distributors, stockists, hospitals, institutions, and export customers (where applicable).
- Prepare dispatch documents, including invoices, delivery challans, packing lists, e-way bills, transport documents, and other statutory documentation.
- Verify product name, batch number, manufacturing date, expiry date, quantity, and packaging before dispatch.
