Key Roles & Responsibilities

Quotation Management

Prepare and send quotation inquiries to third-party manufacturers and vendors.

Collect, compare, evaluate, and maintain quotations received from suppliers.

Prepare customer quotations in coordination with the Marketing and Sales teams.

Ensure timely submission of quotations while maintaining accuracy and completeness.

Outsourcing & Vendor Coordination

Identify, evaluate, and coordinate with contract manufacturers and suppliers.

Build and maintain robust relationships with existing and new vendors.

Negotiate pricing, payment terms, lead times, and commercial conditions with vendors.

Monitor vendor performance regarding quality, delivery, and responsiveness.

Cost Analysis

Analyze product costing, including raw materials, packaging materials, manufacturing charges, logistics, and other associated costs.

Ensure quotations are commercially competitive while maintaining desired profit margins.

Assist management in cost optimization and strategic sourcing initiatives.

Regulatory & Documentation Support





Coordinate with the Marketing and Regulatory Affairs departments regarding product documentation, regulatory requirements, and technical information.

Ensure all quotations comply with applicable regulatory and company requirements.

Maintain accurate documentation related to vendor quotations, product specifications, and commercial communications.

Database & MIS Management

Maintain an organized database of vendor quotations, approved suppliers, and product costing.

Update quotation trackers, outsourcing records, and management reports regularly.

Generate periodic MIS reports related to quotations, sourcing activities, and vendor performance.

Cross-Functional Coordination

Collaborate with Procurement, Production, Quality Assurance, Regulatory Affairs, Warehouse, and Sales teams to confirm product availability, manufacturing capacity, lead times, and compliance before issuing quotations.
