Position Summary
We are looking for a highly organized Ownership Operations Coordinator to manage accounts payable, administration, contracts, compliance tracking, insurance coordination, and executive support for our U.S. businesses.
This role requires excellent organizational skills, attention to detail, and the ability to coordinate with management companies, vendors, banks, insurance brokers, attorneys, accountants, and contractors.
Key Responsibilities
Accounts Payable
- Receive and review vendor invoices
- Verify invoice accuracy and supporting documentation
- Maintain invoice tracking system
- Coordinate invoice approvals
- Prepare weekly payment schedules
- Monitor payment due dates
- Follow up with vendors regarding outstanding invoices
- Maintain accounts payable aging reports
Administration
- Maintain executive calendars
- Schedule meetings and conference calls
- Prepare meeting agendas and minutes
- Track action items until completion
- Coordinate travel arrangements
- Maintain company contact directories
- Organize digital filing systems
Contract Administration
- Maintain contract database
- Track contract renewals and expirations
- Coordinate contract execution
- Maintain signed agreements
Insurance & Compliance
- Track insurance policy renewals
