About the Role

We are looking for a warm, organized, and customer-focused Clinic Coordinator to become one of the founding members of our team.

This role is much more than managing the reception desk. You will create a positive experience for children and families, coordinate appointments, support therapists, and help ensure the smooth day-to-day operation of the centre.

Key Responsibilities

Parent & Child Experience
- Welcome children and families with warmth and professionalism.
- Create a calm, child-friendly reception environment.




- Build positive relationships with parents and caregivers.
- Answer enquiries in person, over the phone, WhatsApp, and email.
- Assist families with appointments, registrations, and follow-ups.

Appointment Management
- Schedule, reschedule, and confirm appointments.
- Manage therapist calendars efficiently.
- Minimize missed appointments through reminders.
- Coordinate therapy schedules and room availability.

Administration
- Maintain child records and clinic documentation.
- Prepare invoices and collect payments.
- Handle billing, receipts, and daily cash reconciliation.
- Update therapy attendance records.
- Manage office supplies and therapy materials.

Communication
- Respond promptly to enquiries from parents.
- Coordinate with therapists regarding schedules and follow-ups.
- Maintain confidentiality of child and family information.

Clinic Operations
- Ensure the reception area is clean, organized, and welcoming.
