Job Summary
The Tender Executive will be responsible for managing the end-to-end tender process for IT
hardware and AMC contracts, including servers, desktops, and network devices. This role
involves identifying relevant tenders, preparing technical and commercial proposals,
ensuring compliance with client requirements, and coordinating with internal teams to
maximize successful bid outcomes.
Key Responsibilities
1. Tender Identification & Tracking

Monitor and identify IT hardware and AMC-related tenders on government portals
(GeM, CPPP), private portals, and OEM notifications.
Review tender documents to determine eligibility, scope of work, and technical
requirements.
Maintain a tender calendar and tracker to ensure timely submissions.
2. Bid Preparation & Submission

Prepare technical proposals highlighting TPMGurus AMC capabilities for servers,
desktops, and network devices.
Coordinate with technical, operations, finance,



and logistics teams for accurate
inputs.
Draft compliance statements, EMD/BG documentation, and other required tender
forms.

Ensure proposals meet client specifications and deadlines for online/offline
submission.
3. Documentation & Compliance

Maintain updated credentials, certifications, and statutory documents related to IT
services.
Ensure AMC agreements, warranty documents, and past performance reports are
ready for tender submission.
Maintain digital and physical records of all tenders submitted.
4. Client & Vendor Coordination

Liaise with clients/OEMs for clarifications and pre-bid meetings.
Attend pre-bid meetings and prepare minutes of meetings (MOM) and follow-up
actions.

Coordinate with partners/subcontractors if joint bidding is required.
5. Post-Submission Follow-Up
