The Dispatch & Planning Executive is responsible for planning daily dispatch activities, coordinating with production and logistics teams, ensuring timely delivery of materials/products, maintaining dispatch documentation, and optimizing transportation schedules to meet customer requirements.
Key Responsibilities
- Plan and schedule daily dispatches based on customer orders and delivery timelines.
- Coordinate with the production, warehouse, and sales teams to ensure product availability.
- Prepare dispatch plans and allocate vehicles accordingly.
- Generate delivery challans, invoices, e-way bills, and other dispatch-related documents.
- Coordinate with transporters for timely pickup and delivery of shipments.
- Track dispatch status and ensure on-time deliveries.
- Resolve delivery-related issues by coordinating with internal departments and logistics partners.
- Maintain dispatch records,
transportation logs, and proof of delivery (POD).
- Monitor inventory availability and communicate shortages or delays to the concerned departments.
- Ensure compliance with company policies and statutory transportation regulations.
- Prepare daily, weekly, and monthly dispatch and planning reports.
- Optimize vehicle utilization and transportation costs wherever possible.
- Follow up with customers and transporters regarding shipment status when required.
- Dispatch documentation (Invoice, Delivery Challan, E-way Bill).
- Inventory management.
- ERP software and Microsoft Excel.
- Basic understanding of GST and logistics documentation.
