Job Description-
We are seeking for a highly organized, detailed-oriented, proactive, and discreet Executive Assistant to support the Senior Vice President of Client Delivery. The ideal candidate will be responsible for managing schedules, project documentation, coordinating meetings, handling correspondence, preparing reports and presentations, and ensuring smooth execution of day-to-day priorities.
The role requires excellent communication, strong attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced business environment.
Key Responsibilities- What You'll Need to Succeed in This Role:
- Manage the executive's calendar, appointments, meetings, and daily schedule, emails, correspondence, calls on behalf of the executive.
- Coordinate internal and external meetings, including agendas, meeting rooms, and required documentation.
- Stakeholder management: Act as the primary point of contact between the executive, employees, clients, partners, and other stakeholders.
- Data Reporting Support: Prepare presentations, reports, MIS, meeting notes, and other business documents.
- Time management: Track and follow up on action items arising from meetings to ensure timely closure. Ensure effective time management and prioritization of the executive's commitments.
- Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries.
- Confidentiality Discretion: Maintain confidential records, documents, and business information.
- Support the executive in preparing for meetings, reviews, presentations, and business discussions.
- Coordinate with different departments to gather information and provide timely updates to leadership.
- Handle expense statements, invoices, reimbursements, and other administrative requirements.
- Organize leadership events, conferences, off-sites, and business engagements when required.
- Anticipate the executive's requirements and proactively address administrative and operational needs.
- Undertake additional strategic and administrative responsibilities as assigned.

- Be confident and courteous while welcoming and coordinating with VIPs, clients, business partners,
and other important stakeholders.
- Experience in handling expatriates, international visitors, and foreign nationals, ensuring a seamless and welcoming experience.

Qualification & Experience:
- Bachelor's degree in business administration, Management, Communications, or a related field.
- 3-7 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or in a similar executive support role.
- Experience supporting CXOs, Directors, Business Heads, or senior leadership will be preferred.
- Prior experience in a corporate or multinational environment is an advantage.
