Job Summary

We are looking for a responsible and technically capable IT Support Executive / Computer Operator to manage day-to-day computer operations and provide basic IT support to employees.

The person will be responsible for maintaining computers, laptops, printers, scanners, internet connectivity and other IT equipment, troubleshooting routine technical issues, maintaining IT asset records, supporting data backup and security, and coordinating with external IT vendors whenever required.

The candidate should have good knowledge of computer hardware, software, Windows operating systems, MS Office, basic networking and general office IT support.

Key Responsibilities

A. Computer Operations

- Operate, maintain and monitor desktop computers, laptops, printers, scanners and other office IT equipment.
- Perform data entry, document preparation, printing, scanning and digital record maintenance.
- Prepare reports, letters, spreadsheets, presentations and other documents as required.
- Maintain proper digital and physical records of company documents.
- Ensure regular backup of important company data.
- Provide day-to-day computer support to employees and different departments.

B. IT Support & Troubleshooting

- Provide first-level technical support to employees for computer and IT-related issues.
- Troubleshoot problems related to computers, laptops, printers, scanners, internet and other IT equipment.
- Install, configure and update Windows operating systems and required software applications.
- Install and configure printers, scanners and other peripheral devices.
- Support employees with MS Office, email, internet and basic application-related issues.
- Assist employees with basic password, login and access-related issues.
- Identify recurring technical problems and take appropriate corrective action.
- Escalate major or unresolved technical issues to the reporting manager or external IT service provider.

C. Hardware & Software Management

- Maintain an updated record of all computers, laptops, printers, scanners, accessories and other IT assets.
- Check the working condition of IT equipment regularly.
- Assist with installation, replacement, repair and upgrading of hardware and software.
- Maintain records of IT asset allocation, handover, repair and replacement.
- Ensure that only authorized software is installed on company computers.
- Maintain records of software licenses and renewals, wherever applicable.
- Report damaged, outdated or malfunctioning equipment to the concerned authority.
- Ensure proper handling and safe use of company IT equipment.

D. Network & Internet Support

- Monitor basic office LAN, Wi-Fi and internet connectivity.
- Troubleshoot basic network and connectivity issues.
- Assist in maintaining routers, switches and other basic networking equipment.
- Support employees in resolving Wi-Fi, LAN and internet-related issues.
- Coordinate with the Internet Service Provider (ISP) or external IT vendor for major connectivity or networking problems.
- Maintain records of internet/network-related complaints and their resolution.

E. Email & Application Support

- Create, configure and maintain company email IDs as authorized by management.
- Assist employees with email configuration and troubleshooting.
- Support basic Microsoft Office applications including Word, Excel and PowerPoint.
- Install and configure approved software and applications as required.




- Ensure that software and applications are used in accordance with company requirements and authorization.

F. Data Security & Backup

- Ensure company data is handled securely and confidentially.
- Maintain regular backups of important company files and records as instructed by management.
- Assist in maintaining antivirus and basic system-security measures.
- Ensure that company passwords, login credentials and confidential information are not disclosed to unauthorized persons.
- Immediately report any suspected virus, malware, unauthorized access, data loss or security incident to the reporting manager.
- Follow company policies relating to data security, confidentiality and IT usage.
- Assist management in maintaining secure access to company systems and data.

G. Administrative & Management Support

- Provide IT support during meetings, presentations and company events.
- Assist management and other departments with computer-related requirements.
- Provide technical assistance for office equipment and basic IT-related requirements.
- Maintain records of IT complaints, repairs, replacements and service requests.
- Coordinate with external IT vendors and service providers and follow up until the issue is resolved.
- Maintain an updated inventory of IT assets, accessories and consumables.
- Perform other IT/computer-related duties assigned by management from time to time.

Educational Qualifications

- Graduate or Diploma in Computer Applications, Information Technology or a related field.
- BCA, B.Sc. (Computer Science), Diploma in IT/Computer Applications or equivalent qualifications will be preferred.
- Candidates with relevant technical certifications or practical IT support experience may also be considered.

Required Technical Skills

The candidate should have:

- Good knowledge of Windows operating systems.
- Basic knowledge of computer hardware and peripherals.
- Good troubleshooting skills for common computer and software problems.
- Knowledge of installation and configuration of software applications.
- Good working knowledge of MS Word, MS Excel and MS PowerPoint.
- Knowledge of email applications and internet usage.
- Basic knowledge of LAN, Wi-Fi, routers, switches and internet connectivity.
- Knowledge of printer, scanner and other office equipment installation and troubleshooting.
- Basic knowledge of antivirus and system security.
- Good typing and data-entry skills.
- Ability to maintain IT asset and service records.
- Ability to coordinate with external IT vendors/service providers.

Experience





- 1-3 years of experience in IT support, computer operations, technical support, office IT support or a similar role.
- Freshers with relevant educational qualifications and good practical technical knowledge may also be considered.

- Timely response and resolution of day-to-day IT issues.
- Proper maintenance and working condition of IT equipment.

- Regular and proper backup of important company data.
- Reduction in recurring technical issues.
- Timely coordination and follow-up with external IT vendors.
- Proper maintenance of software and hardware records.

Working Conditions

- Full-time, office-based position.
- The employee may be required to provide IT support to different departments and employees.
- The employee may occasionally be required to work beyond normal office hours in case of urgent technical issues, system maintenance or other company requirements.
- The employee may be required to coordinate with external IT vendors/service providers as necessary.

Authority & Responsibility

- The employee will be responsible for the proper handling, maintenance and safe use of company IT equipment, systems and data assigned to them.
- The employee shall not make major changes to company systems, network configuration, security settings or software without proper authorization.
- Any major hardware, software, network, security or data-related issue must be immediately reported to the reporting manager/management.
- The employee shall maintain proper records of IT assets, repairs, replacements and service requests.
- The employee shall ensure that company IT resources are used only for authorized business purposes.

Confidentiality

The employee shall maintain strict confidentiality of all company information accessed during the course of employment, including:

- Company and employee data
- Business and financial information
- Passwords and login credentials
- Emails and official correspondence
- Company documents and records
- Customer/client information
- System and network information
- Other confidential or sensitive information

The employee shall not disclose, copy, transfer or share confidential company information with any unauthorized person without prior approval from management.

General Responsibility

The employee shall perform all duties related to IT support, computer operations and office technology as reasonably assigned by management from time to time and shall comply with all applicable company policies, procedures and instructions.
