Overview
The role is responsible for overseeing contract management, financial forecasting, and supplier relationships to ensure value for money, compliance, and efficient service delivery, while supporting facilities management operations and driving continuous improvement.
How you'll make an impact
Responsibilities:
Contract Management:
- Monitor contracts, including tracking Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
- Renegotiate contracts to ensure optimal terms and conditions.
- Novate contracts for business acquisitions, ensuring seamless transitions.
- Conduct benchmarking exercises to monitor value for money and identify cost-saving opportunities.
- Consolidate invoicing processes for efficiency and accuracy.
- Assist with the management, administration, and tender process of commercial contracts to ensure high-level service delivery.
Contractor Meetings:
- Schedule and hold regular contractor meetings to review performance, address issues, and ensure alignment with contract terms.
- Record meeting minutes and track actions, ensuring follow-up and resolution of outstanding items.
Budget and Financial Management:
- Prepare yearly budgetary forecasts for contracts and new initiatives.
- Assist the Head of UK Facilities Management (FM) in managing the annual budget for the Facilities function on a regional basis.
- Track facilities-related expenditure against the budget and provide supporting financial information.
- Oversee the preparation and reconciliation of invoices, ensuring timely processing and compliance with documentation requirements.
Relationship Management:
- Develop key relationships across support functions and build strong communication links internally and with offshore partners (Gallagher Centre of Excellence (GCoE)).
- Build and maintain relationships with suppliers, service providers, and internal staff, cultivating key points of contact.
- Act as the main point of contact for all FM-related contract issues and escalations.
- Promote the Facilities department within the company to improve service delivery and solicit feedback for continuous improvement.
Facilities and Administrative Support:
- Respond to queries received through the helpdesk, issue work orders, and log performance against defined response levels.
- Provide administrative support to the Head of Facilities (UK) and the wider Facilities team.
Performance Monitoring and Reporting:
- Monitor and record supplier performance against SLAs and KPIs, flagging breaches to the Head of Facilities (UK).
- Report on key areas regularly and escalate serious issues immediately.
About you
Qualifications:
- GCSE or equivalent: Maths and English grade C or above
- Desirable - A nationally recognise qualification in a relevant field such as:
- Business Administration
- Finance or Accounting
- Facilities Management
- Supply Chain Management
- Contract Management or Procurement
Desirable - Professional Certification:
- Certified Professional Contract Manager (CPCM) – National Contract Management Association (NCMA)
- Certified Commercial Contracts Manager (CCCM)
- Contract and Commercial Management Practitioner (CCMP) – International Association for Contract and Commercial Management (IACCM)
Experience - Proven experience in:
- Contract management, including negotiation, monitoring, and administration.
- Facilities management or a related operational role.
- Budget preparation, financial forecasting, and invoice reconciliation.
- Managing supplier relationships and conducting performance reviews.
- Leading or participating in benchmarking exercises to assess value for money.
- Handling escalations and resolving contract-related issues.
- Advance knowledge of Microsoft Office Suite particularly Excel and PowerPoint
- Experience in a corporate or multi-site environment is highly desirable

- Ability to communicate effectively, both internally and externally at all levels with good interpersonal skills and you will have excellent verbal and written communications

- IT literate with a good knowledge of Microsoft Office

- Basic knowledge of H&S; regulations and requirements
- Professional presentation and telephone manner
- Experience of working within pre agreed budgets
- Proven experience of integration of new systems
- Basic understanding of contract tender process
- Basic understanding of lease obligations
- Basic understanding and knowledge of FCA rules and guidelines relating to commercial and private customers
- Basic understanding and knowledge of general insurance and underlying legal principles
- Experience of using a Facilities Helpdesk software system
