Job Description: Accounts Payable
Role Summary
The Accounts Payable Reviewer is responsible for the second-level review and control of all vendor invoices, payment requests, and expense claims across group entities before payment release. The role ensures accuracy, completeness, policy compliance, and statutory compliance (GST, TDS) in the AP cycle, and acts as the quality gate between invoice processing and payment authorization.
Key Responsibilities
Invoice & Payment Review
- Review vendor invoices processed by the AP team for accuracy of amounts, GST treatment, TDS applicability and rates, cost centre/entity coding, and supporting documentation (PO, agreement, GRN/service confirmation).
- Verify three-way matching (PO–invoice–receipt) where applicable and flag mismatches for resolution.
- Review payment batches before release, confirming bank details, duplicate payment checks, and approval matrix compliance.
- Review employee reimbursement claims against travel and expense policy.
Agreement & Supporting Document Review
- Thoroughly review underlying agreements, work orders, and purchase orders for every invoice: verify that billed rates, milestones, scope, and payment terms match the contracted terms before approving for payment.
- Confirm agreement validity (term, renewal, expiry) and flag payments against expired or unsigned agreements for regularization before release.
- Verify completeness of supporting documents — signed agreements/WOs, GRNs or service completion confirmations, delivery challans, measurement certificates, timesheets, or milestone sign-offs as applicable to the nature of expense.
- Check invoices against contractual clauses on escalation,
retention, liquidated damages, penalties, and reimbursable vs. non-reimbursable items.
- Maintain a tracker of agreements linked to recurring vendors, with alerts for expiries, rate revisions, and renewal actions; escalate gaps (missing/expired agreements, scope creep in billing) to the Finance Controller.
Compliance & Controls
- Ensure correct TDS section, rate, and deduction on every payment; flag lower-deduction certificates and their validity.
- Verify GST input tax credit eligibility, vendor GSTIN validity, and correct HSN/SAC classification; coordinate with the GST team on ITC mismatches (GSTR-2B reconciliation).
- Ensure adherence to delegation of authority (DOA) and approval workflows for each entity.
- Maintain audit-ready documentation trails for all reviewed transactions.
Vendor & Ledger Management
- Review vendor master changes (new vendors, bank detail modifications) with supporting KYC documents before approval.
- Review vendor ledger reconciliations, advance adjustments, and ageing of open items; follow up on long-pending advances and debit balances.
- Review MSME vendor classification and monitor payment timelines under the MSMED Act (45-day rule) and Section 43B(h) implications.
Reporting & Closing Support
- Support monthly closing:
review of expense provisions, accruals for unbilled services, and cut-off accuracy.
- Prepare AP ageing, ITC mismatch, and TDS exception reports for management.
- Support statutory, internal, and tax audits with schedules and documentation.
Candidate Profile
Qualifications & Experience
- B.Com / M.Com / CA Inter / CMA Inter; CA/CMA qualified preferred for senior candidates.
- 4–7 years of experience in accounts payable or finance operations, with at least 2 years in a review/checker capacity.
- Experience in a multi-entity or shared-services workplace is a strong advantage.
Technical Skills
- Strong working knowledge of GST (ITC rules, RCM, e-invoicing) and TDS provisions.
- Hands-on experience with Tally / Zoho Books / SAP / Oracle or similar ERP.
- Advanced Excel skills (pivot tables, lookups, reconciliation workflows).
Behavioural Competencies
- High attention to detail with a control-oriented mindset.
- Ability to push back constructively on incomplete or non-compliant submissions.
- Clear written communication for documenting exceptions and review comments.
- Ability to manage volume peaks around month-end and audit periods without compromising review quality.
Key Performance Indicators
- Zero duplicate or erroneous payments released post-review.
- TDS/GST exception rate on reviewed invoices.
- Turnaround time from invoice submission to review completion.
- Audit observations attributable to AP process.
- Vendor ageing and advance recovery metrics.
Pay: ₹400,000.00 - ₹700,000.00 per year
