The Provider Relations Coordinator (PRC) is responsible for managing communication and relationships with healthcare providers to ensure timely, accurate, and compliant processing of medical record requests. This role acts as a key liaison between providers and internal teams, ensuring smooth coordination, issue resolution, and adherence to service-level expectations.
Essential Duties & Responsibilities:
- Serve as the primary point of contact for assigned healthcare providers regarding medical record requests.
- Manage inbound and outbound communications via email, phone calls, and internal ticketing systems.
- Follow up with providers to obtain medical records within defined turnaround times.
- Ensure accurate documentation of all provider interactions and request updates in the system.
- Address provider inquiries, concerns, and escalations in a professional and timely manner.
- Coordinate with internal support, QA, and escalation teams to resolve delays or issues.
- Maintain strong working relationships with providers through clear, polite, and consistent communication.
- Ensure compliance with HIPAA and company policies at all times.
- Track pending requests and proactively identify risks to deadlines.
- Meet daily productivity and quality benchmarks.
Requisite Experience
- Excellent written and verbal communication skills in English.
- Solid email etiquette and professional phone communication.
- Ability to manage multiple requests and follow-ups simultaneously.
- Attention to detail and accuracy in documentation.
- Basic understanding of healthcare records, provider workflows, or revenue cycle processes (preferred).
- Comfortable working with CRM, ticketing systems,
and internal tools.
- Strong time-management and organizational skills.
- Ability to work independently in a remote environment.
Preferred Qualifications
- Prior experience in healthcare support, provider relations, or medical records processing.
- Experience working in a customer support or coordination role.
- Familiarity with HIPAA compliance standards.
Schedule: 9AM-5PM EST or 12PM-8PM EST. Monday-Saturday (48 hours)
