About the Role
We are looking for a Purchase Executive – Real Estate Projects to manage and coordinate the procurement of materials, services and project-related requirements across multiple real estate projects.
The candidate will be responsible for vendor coordination, obtaining quotations, purchase order processing, price comparison, purchase documentation and ensuring timely availability of materials while maintaining cost control and procurement discipline.
Key Responsibilities
1. Procurement & Purchase Management
Handle day-to-day procurement requirements for multiple real estate projects.
Coordinate with project/site teams to understand material and service requirements.
Obtain and evaluate quotations from various suppliers and vendors.
Prepare comparative statements (rate comparisons) and assist management in vendor
selection.
Negotiate prices, payment terms, delivery schedules and other commercial terms with vendors.
Prepare and process Purchase Orders (POs) and Work Orders as per approved requirements.
Follow up with vendors to ensure timely delivery of materials and services.
Coordinate with site teams and stores to ensure materials are received as per specifications and
requirements.
Monitor pending purchase orders and undelivered materials.
2. Vendor Management
Identify and develop relationships with reliable suppliers and contractors.
Maintain an updated vendor database including rates, contact details, GST details, payment
terms and other relevant information.
Obtain and verify vendor documents such as GST registration, PAN, bank details and other
statutory documents.
Maintain vendor performance records based on price, quality, delivery and service.
Assist in periodic evaluation and empanelment of vendors.
3. Cost & Commercial Control
Track material and service rates across different projects.
Monitor price variations and identify opportunities for cost savings.
Maintain project-wise purchase and cost reports.
Compare actual purchase rates against approved budgets, previous rates and negotiated rates.
Highlight significant price variations to the Finance/Management team.
Assist in maintaining a project-wise procurement budget and commitment report.
4. Tally & Documentation
Enter and maintain purchase-related data in Tally ERP / Tally Prime.
Coordinate with the Accounts team for matching of Purchase Orders, Goods Receipt Notes
(GRNs), invoices and payments.
Assist in Purchase Order – GRN – Invoice reconciliation.
Verify basic invoice details including vendor name, GSTIN, quantity, rate, taxes and PO
reference before forwarding invoices to Accounts.
Ensure proper documentation and filing of purchase records.
5. MIS & Excel Reporting
Prepare regular purchase MIS reports for management.
Maintain project-wise and vendor-wise purchase data in Excel.
Develop and maintain Excel-based procurement trackers and dashboards.
Use Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, IF formulas, conditional formatting
and other advanced Excel functions for analysis and reporting.
Identify discrepancies between procurement data, site records and accounting records.
Key Skills Required
2–3 years of relevant experience, preferably with a real estate developer or construction
company.
Good understanding of construction and real estate procurement processes.
Working knowledge of Tally ERP / Tally Prime.
Excellent knowledge of MS Excel is essential.
Solid skills in:
o Pivot Tables
o XLOOKUP / VLOOKUP
o SUMIFS / COUNTIFS
o IF formulas
o Conditional formatting
o Data sorting and filtering
o MIS preparation
o Comparative statements
Good understanding of GST and basic purchase documentation.
Good negotiation and vendor coordination skills.
Strong numerical and analytical ability.
Good written and verbal communication skills.
Strong attention to detail and ability to work with large volumes of data.
Preferred Experience
Candidates who have worked with a real estate developer/construction company having multiple on going projects will be preferred.
Experience in procurement of the following will be an added advantage:
Civil construction materials
Steel and cement
Electrical materials
Plumbing materials
Tiles, sanitaryware and fittings
Hardware and building materials
Finishing materials
Site consumables
Contractors and project-related services
Ideal Candidate Profile
The ideal candidate should be commercially aware, analytical and highly organised, with the ability to
handle procurement requirements across multiple projects simultaneously.
The candidate should not be limited to preparing Purchase Orders but should be capable of tracking the complete procurement cycle — from requirement generation and quotation collection to negotiation, PO issuance, delivery, documentation and reconciliation.
The ability to work extensively on Excel and analyse procurement data is critical for this position.
Experience
2–3 years preferred, preferably in the Real Estate / Construction industry.
