Analyst, Facilities Management Account Management – Work Dynamics
What this job involves: We are seeking an analytical and tech-savvy Facilities Management Analyst specializing in soft services to drive data-driven decision-making and innovation across our facility operations. The ideal candidate will leverage advanced analytics and emerging technologies to optimize soft service delivery, enhance operational efficiency, and implement innovative solutions while maintaining high standards of service quality.
Key ResponsibilitiesData Analytics & Performance ManagementCollect, analyze, and interpret data from soft services operations including janitorial, pest control, landscaping, and horticulture services
Develop comprehensive dashboards and reports to track key performance indicators (KPIs) and service delivery metrics
Conduct trend analysis to identify patterns, inefficiencies, and opportunities for improvement
Generate actionable insights from facility performance data to support strategic decision-making
Perform cost-benefit analyses for soft service operations and recommend optimization strategies
Create predictive models for resource allocation, scheduling, and service demand forecasting
Innovation & Technology IntegrationResearch and evaluate emerging technologies applicable to soft services operations (IoT sensors, automation, AI-driven solutions)
Identify opportunities to integrate technology solutions for enhanced service delivery (smart cleaning systems, automated pest monitoring, digital landscaping management)
Lead pilot programs for new technologies and innovative service delivery models
Develop business cases for technology investments in soft services
Collaborate with IT and operations teams to implement digital transformation initiatives
Monitor industry trends and best practices in facility management technology
Soft Services Operations SupportOversee and analyze janitorial services performance to maintain cleanliness standards across all facility areas
Monitor pest control program effectiveness through data analysis and compliance tracking
Evaluate landscaping and horticulture services performance using quantitative metrics
Conduct data-driven facility inspections and maintain comprehensive digital inspection records
Support the optimization of service schedules based on utilization patterns and data insights
Operations & AdministrationPerson should be willing to work in shifts
Analyze work order systems data including ticket creation, response times, completion rates, and closure patterns
Optimize shift schedules for facility staff using data analytics and forecasting models
Maintain accurate digital documentation and create automated reporting systems for facility activities
Generate regular analytical reports on facility performance metrics and service delivery efficiency
Develop standardized templates and processes for data collection and reporting
Vendor & Stakeholder ManagementAnalyze vendor performance data and conduct quantitative evaluations against service level agreements (SLAs)
Create vendor scorecards and performance benchmarking reports
Support vendor management through data-driven insights and performance analytics
Prepare presentations for stakeholders showcasing operational insights and improvement recommendations
Facilitate data-sharing and reporting requirements between facility users and service providers
Compliance & Safety AnalyticsTrack and analyze health and safety metrics across all soft service operations
Monitor compliance data and generate risk assessment reports
Analyze incident reports and identify trends to support preventive measures
Create compliance dashboards to ensure adherence to environmental and regulatory requirements
Support emergency response planning through scenario analysis and data modeling
Required QualificationsEducation & ExperienceBachelor's degree in Data Analytics, Business Analytics, Engineering, Facility Management, Computer Science, or related field
2-4 years of experience in data analytics, preferably within facilities management or related operations role
Prior experience in implementing technology solutions or innovation projects in service operations
Experience working with large facilities of minimum 500,000 SQFT preferred
Demonstrated experience in process improvement and operational optimization
Technical SkillsAdvanced Excel Skills: Proficient in pivot tables, VLOOKUP, macros, data validation, and advanced formulas
Data Visualization Tools: Experience with Power BI, Tableau, or similar business intelligence platforms
Data Analysis: Strong statistical analysis and data modeling capabilities
Database Management: Familiarity with SQL and database query languages
Facility Management Software: Experience with CAFM/CMMS systems and ability to extract and analyze system data
Microsoft Office Suite: Advanced proficiency in Excel, PowerPoint for data presentation, and Word
Programming Knowledge: Basic knowledge of Python or R for data analytics (preferred)
IoT & Automation: Understanding of IoT sensors, automation technologies, and their application in facility management
Excellent written communication skills for technical documentation and reporting
