JOB DESCRIPTION – ADMIN & HR EXECUTIVE

Location: Gurgaon – Sector 47 & Sector 15
Department: HR & Administration
Working Hours: 10:00 AM – 7:30 PM (9 hours working + 30-minute break)
Weekly Off: Sunday
Leaves: 1 leave per month
Holiday: As per company policy
Reporting To: Management
Role Overview
We are looking for a proactive, disciplined and responsible Admin & HR Executive to manage day-to-day HR and administrative activities, employee attendance, factory monitoring, documentation, compliance, reporting and coordination.
The candidate will act as a link between Management, Factory HR & Admin, Accounts, Security and other departments, ensuring that instructions are followed, tasks are completed on time and accurate information is reported to management.
Key Responsibilities
1. HR Operations
- Manage employee records, joining and exit formalities.
- Maintain daily attendance, leave, absenteeism and overtime records.
- Prepare salary and advance data and coordinate with Accounts.
- Assist with ESIC and other applicable statutory compliance.
- Handle employee-related documentation and queries.
- Maintain HR registers, checklists and records.
2. Factory Monitoring & Security
- Monitor CCTV and employee movement regularly.
- Conduct random headcounts and attendance verification.
- Monitor security guards, visitors and material movement.
- Track inward/outward material movement and reconcile with records.
- Identify and immediately report suspicious activities, unauthorized movement, employee idle time or other irregularities.
- Monitor factory activities after working hours through authorized CCTV/mobile systems.
3. Administration
- Manage office and factory administrative activities.
- Maintain physical and digital company records.
- Coordinate with vendors, banks, government offices and other external parties.
- Support tender documentation and official correspondence.
- Draft qualified letters, emails and other communications.
- Coordinate with HR, Accounts, Marketing and other departments.
4. MIS, Reporting & Follow-up
- Prepare daily, weekly and monthly MIS reports and dashboards.
- Provide accurate real-time updates to management.
- Maintain daily HR/Admin checklists and task trackers.
- Track pending tasks and ensure timely completion.
- Immediately escalate important issues and deviations to management.
5. SOP & Process Management
- Develop and maintain SOPs, checklists and systems for HR and Administration.
- Ensure employees follow company procedures and policies.
- Identify process gaps and suggest improvements.
6. Coordination & Accountability
- Follow up on management instructions until completion.
- Coordinate between Head Office, Factory, Accounts, HR, Security and other departments.
- Maintain discipline and confidentiality.
- Take ownership of assigned responsibilities without repeated reminders.
- Visit factory/office as required for HR audits, salary distribution, training and compliance checks.
- Perform additional HR/Admin responsibilities as assigned by management.
Key KPIs
Performance will primarily be measured on:
- Accuracy & timely submission of reports
- Attendance and employee-record accuracy
- Timely identification and reporting of irregularities
- Completion of assigned tasks within deadlines
- Follow-up and closure of pending tasks
- CCTV, security and factory monitoring
- HR/Admin documentation and compliance
- Discipline, reliability and ownership
- Real-time communication with management
Qualifications & Experience
- Bachelor's degree is mandatory.
- 2–3 years of relevant experience in HR, Administration, Factory Operations or a similar role.
- Manufacturing/factory experience preferred.
- Minimum 70% academic performance throughout preferred.
Required Skills
- Strong knowledge of HR & Administration.
- Good knowledge of attendance, payroll basics and ESIC.
- Excellent Excel/MS Office skills.
- Good English communication and drafting skills.
- Strong documentation and reporting ability.
- Good CCTV/monitoring and coordination skills.
- Strong follow-up and problem-solving ability.
- High integrity, confidentiality and professionalism.
- Self-driven, proactive and comfortable working independently.
Key Expectation
This is an execution-oriented role. The candidate is expected not only to report tasks or problems but also to follow up, coordinate and ensure that assigned work is completed. Important issues must be reported to management immediately.
Pay: ₹25,000.00 - ₹40,000.00 per month
