Executive Assistant to Managing Director (EA to MD)
Location: NSP, Delhi
Employment Type: Full-Time, On-Site
Experience: 5–8 Years

Reporting To: Managing Director
About the Role
We are looking for an experienced, highly organized, and proactive Executive Assistant to the Managing Director who can provide comprehensive executive, administrative, and coordination support to the MD.
The ideal candidate should be capable of managing multiple priorities, maintaining confidentiality, coordinating with internal and external stakeholders, and ensuring that important tasks and decisions are followed through to completion.
Key Responsibilities
- Manage the MD’s calendar, appointments, meetings, and daily schedule.
- Coordinate internal and external meetings and ensure timely communication with participants.
- Prepare meeting agendas, presentations, reports, and other business documents.
- Take Minutes of Meetings (MoM) and maintain a clear tracker of action points and deadlines.
- Follow up with respective departments and stakeholders on tasks assigned by the MD.
- Maintain daily/weekly/monthly task trackers and MIS reports for management review.
- Prepare and maintain reports, dashboards, and data analysis using MS Excel and Google Sheets.
- Manage emails, correspondence, letters, and official communication on behalf of the MD when required.
- Coordinate with HR, Finance, Purchase, Sales, Production, Operations, and other departments for timely execution of management decisions.
- Arrange business travel, including flights, hotels, transportation, and travel itineraries.
- Maintain and organize confidential documents, records, and business information.
- Assist the MD in preparing presentations and reviewing important reports/data before meetings.
- Coordinate with clients, vendors, consultants, business partners, and other external stakeholders as required.
- Monitor important deadlines, commitments, appointments, and pending activities.
- Conduct basic research and prepare concise summaries or information for the MD whenever required.
- Handle sensitive and confidential information with a high level of discretion, professionalism, and integrity.
- Support the MD in day-to-day administrative and operational activities.
- Anticipate the MD’s requirements and proactively ensure that tasks are completed without constant supervision.
- Perform other responsibilities and special assignments as delegated by the Managing Director.
Required Skills & Qualifications
- Graduate in any discipline; MBA/PGDM or relevant qualification will be an advantage.
- 5–8 years of proven experience as an Executive Assistant, Personal Assistant, Executive Secretary, or similar role supporting senior management/MD/CEO.
- Strong proficiency in MS Excel and Google Sheets, including data management, reports, trackers, and basic MIS.
- Good working knowledge of Google Calendar, Gmail, Google Drive, Google Docs, and Microsoft Office.
- Excellent written and verbal communication skills.
- Strong organizational, coordination, and follow-up skills.
- Ability to manage multiple priorities and work under pressure.
- Strong attention to detail and accuracy.
- Good analytical and problem-solving abilities.
- Skilled appearance, attitude, and communication.
- High level of confidentiality and discretion.
- Ability to work independently and take initiative.
- Strong interpersonal skills with the ability to coordinate effectively with different departments and senior stakeholders.
Preferred Candidate Profile
- Candidates with prior experience directly supporting an MD, CEO, Director, or CXO will be preferred.
- Experience in a manufacturing/corporate environment will be an added advantage.
- Should be proactive, dependable, mature, and highly organized.
- Should have excellent follow-up skills and a strong sense of ownership.
- Comfortable handling confidential and time-sensitive assignments.
- Ability to anticipate requirements and act proactively rather than waiting for instructions.
