The General Affairs Senior Staff will support the general affairs department by transitioning duties to the new general affairs staff. This role involves managing a variety of administrative and operational tasks to ensure smooth and efficient office operations.
Key Responsibilities:
1. General Affairs Support:
- Transition duties to the new general affairs staff.
- Provide comprehensive support in all general affairs activities.
- Managing GKS data (i.e. reimbursement for employees, purchase order data, kian, business trip application etc.)
2. Registrar of Companies (ROC) Filings:
- Manage and ensure timely filings with the Registrar of Companies.
3. Data Sharing Support:
- Assist ASA and LegAccord in sharing required data.
- Support SHIN management and SHIN accounts team by providing desired data.
4. Management Support:
- Provide support to management for any specific requirements.
5. Vendor Management:
- Introduce and manage vendors, including retailers of goods, lease companies, travel agencies, and other entities to which SHIN pays money.
- Good negotiation skills desired before onboarding new vendor.
6. Office Supplies Management:
- Manage office supplies, including optimizing consumption and stock levels.
7. Contract Management:
- Handle contract management and renewals.
8. IT and System Support:
- Provide IT, system, and general day-to-day issue support to all employees.

Employee Recruitment Onboarding and Training:
- Support new employee hiring (back office only) ,onboarding and training for GKS and GSCM after joining SHIN.
- Prepare Joining kit for all the employees on time.
- Travel and accommodation of new joinee (If required)
10. Documentation Management:
- Manage documentation for new employees.
11. Expatriate Support:
- Handle EFRRO, Aadhar, and PAN requirements for Japanese expats. If necessary, coordinate with a consultancy.
- Assist expats with residential arrangements, similar to vendor management.
12. Event Coordination:
- Coordinate exhibitions and other company events.
13. Travel Arrangements:
- Ticket and hotel booing for all the Management.
14. Grievance Handling:
- Address and resolve employee grievances in a timely and effective manner.
- Ensure compliance with company policies and legal requirements in grievance handling.
Qualifications:
- Bachelor's degree in Business Administration or related field.
- Proven experience in general affairs or administrative roles.
- Robust organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and other relevant software.
Skills:
- Experience in vendor management and contract negotiations.
- Familiarity with ROC filings and other regulatory requirements.
- Ability to provide IT and system support.
