- Manage the MD's daily calendar, appointments, meetings, and travel schedules.
- Prepare meeting agendas, presentations, reports, and briefing documents.
- Maintain records of important discussions, decisions, and action points.
- Follow up with concerned departments on decisions taken by the MD.
- Ensure timely completion of tasks assigned by the MD.
- Handle confidential information and business matters with complete discretion.
2. MIS & Management Reporting
- Prepare daily, weekly, and monthly MIS reports for management review.
- Track key business parameters such as:
- Sales and order status
- Pending quotations
- Order booking
- Project execution status
- Production status
- Material procurement
- Receivables and outstanding payments
- Dispatch status
- Customer complaints
- Pending approvals and critical issues
- Consolidate information from different departments and highlight delays, risks, and critical action points.
- Maintain dashboards and management review trackers using Excel/ERP/MIS systems.
3. Coordination with Departments
- Coordinate with Sales, Design/Engineering, Production, Purchase, Stores, Quality, Finance, and Project teams.
- Monitor interdepartmental dependencies and ensure timely follow-up.
- Track important customer orders and projects from order receipt through manufacturing and dispatch.
- Escalate critical delays and issues to the MD with relevant information.
4. Customer & Business Coordination
- Coordinate with key customers, consultants, vendors, and business associates on behalf of the MD when required.
- Schedule customer meetings and prepare relevant information before meetings.
- Maintain professional communication with important clients and stakeholders.
- Follow up on quotations, orders, payments, documentation, and other business requirements.
5. Meeting Management
- Schedule internal and external meetings for the MD.
- Prepare meeting agendas and supporting documents.
- Record Minutes of Meeting (MOM) and circulate them to concerned stakeholders.
- Maintain an Action Taken Report (ATR) and follow up until closure.
- Ensure key management decisions are communicated to the relevant teams.
6. Commercial & Business Follow-up
- Assist the MD in monitoring quotations, purchase orders, sales orders, project margins, receivables, and major commercial issues.
- Follow up with Finance and Sales teams regarding outstanding payments.
- Track major vendor and procurement issues.
- Support management in preparing business reviews and performance analysis.
7. Documentation & Administration
- Maintain organized records of important management documents, reports, agreements, presentations, and correspondence.
- Draft professional emails, letters, notices, and internal communications.
- Manage confidential files and information securely.
- Coordinate travel arrangements, hotel bookings, meetings, and other requirements of the MD.
Industry-Specific Responsibilities
The candidate should understand or be willing to learn the basic workflow of electrical control panel manufacturing, including:
- LT/HT control panels
- PCC, MCC, APFC, AMF, PLC and automation panels
- Electrical drawings and BOMs
- Customer approvals
- Procurement and material planning
- Panel assembly and wiring
- Testing and inspection
- FAT / customer inspection
- Dispatch and project execution
- Vendor and subcontractor coordination
A technical electrical background will be an advantage but is not mandatory if the candidate has strong coordination and management-support experience.
Pay: ₹18,000.00 - ₹25,000.00 per month
