Executive Assistant
Insighte Childcare is an inclusive child-development organisation supporting children, families and schools across India. Since 2016, we have worked with more than 2,000 children and 1,000 families through school-based learning support, Homecare therapy, counselling and clinical services. Our professionals help children with Autism, ADHD, learning differences and other developmental needs participate meaningfully, build independence and develop skills without shame or forced compliance. For psychologists, special educators and child-development professionals, Insighte offers structured training, ongoing clinical supervision and practical experience across schools, homes and therapeutic settings. Team members can grow into roles such as Child Psychologist, Case Manager, Inclusion Specialist and Clinical Supervisor.
Executive Assistant to the CEO

About Insighte
Insighte Childcare Pvt. Ltd. is a growing child-development and education organisation working towards creating more inclusive and supportive environments for neurodivergent children. We work across schools, homes, therapy settings, and learning environments, collaborating with psychologists, educators, families, and institutions.
We are looking for a highly organised, proactive, discreet, and execution-oriented Executive Assistant to the CEO who can work closely with the CEO and ensure that his day-to-day priorities, communication, meetings, travel, and delegated tasks are managed efficiently.
This is a high-trust role that requires someone who can anticipate requirements, follow through on commitments, coordinate with multiple stakeholders, and ensure that nothing falls through the cracks.
Key Responsibilities
1. CEO Calendar & Schedule Management
Manage and maintain the CEO's calendar, including meetings, calls, appointments, and internal commitments.
Coordinate and schedule meetings with internal teams, leadership, external stakeholders, partners, and other important contacts.
Ensure the CEO has transparent visibility of upcoming meetings, priorities, and commitments.
Proactively identify scheduling conflicts and resolve them.
Help structure the CEO's day based on priorities and deadlines.
2. Email & Communication Management
Manage and organise the CEO's email correspondence and ensure important emails are identified and followed up on.
Draft professional emails, responses, notes, and other communication on behalf of the CEO when required.
Coordinate communication between the CEO and internal/external stakeholders.
Ensure important conversations and action points are followed through.
Maintain professionalism and confidentiality in all communication.
3. Follow-up & Delegation Management
Track tasks and action items delegated by the CEO to different team members.
Maintain a clear tracker of pending, ongoing, and completed tasks.
Follow up with relevant team members to ensure deadlines are met.
Keep the CEO updated on the status of important delegated tasks.
Escalate delays, blockers, or issues that require the CEO's attention.
Ensure decisions and instructions given by the CEO are translated into timely action.
4. Leadership Team Coordination
Act as a key coordination point between the CEO and his immediate leadership team.
Facilitate communication, follow-ups, and information flow between the CEO and leadership team members.
Coordinate leadership meetings and ensure agendas, documents, and action items are prepared.
Track action points emerging from leadership discussions and follow up on their completion.
Ensure the CEO is kept updated on relevant developments across functions.
5. Travel & Booking Management
Manage domestic and international flight bookings, accommodation, local transportation, and other travel arrangements for the CEO.
Coordinate travel itineraries and ensure all relevant details are organised and easily accessible.
Handle changes, cancellations, rescheduling, and last-minute travel requirements efficiently.
Maintain records of travel-related documents, bookings, and expenses where required.
6. Meeting & Documentation Support
Prepare meeting agendas, briefing notes, presentations, documents, and other materials as required.
Take notes or capture key action points during important meetings when required.
Maintain organised records of important documents and correspondence.
Ensure the CEO is adequately prepared for important meetings and discussions.
7. Task & Priority Management
Help the CEO stay on top of priorities, deadlines, follow-ups, and commitments.
Proactively remind the CEO about important upcoming tasks, meetings, and deadlines.
Identify pending items that require attention and ensure appropriate follow-up.
Support the CEO in prioritising tasks when there are multiple competing requirements.
Work independently to resolve routine coordination and administrative matters without requiring constant supervision.
8. Administrative & Executive Support
Support the CEO with day-to-day administrative requirements.
Coordinate with internal departments and external stakeholders on behalf of the CEO.
Assist with preparation and organisation of reports, presentations, proposals, and other business documents.
Handle sensitive and confidential information with a high degree of discretion.
Support the CEO with ad-hoc requirements and special projects as needed.
What We Are Looking For
We are looking for someone who is extremely organised, dependable, proactive, and comfortable working in a fast-paced environment.
The ideal candidate should:
Have 1+ years of experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Operations Coordinator, or in a similar role.
Have excellent written and verbal communication skills.
Be highly organised with strong attention to detail.
Be comfortable managing calendars, emails, meetings, travel, and multiple priorities simultaneously.
Have strong follow-up and task-tracking abilities.
Be confident communicating with senior leadership and multiple stakeholders.
Be comfortable using Google Workspace, Google Calendar, Gmail, Google Sheets, and similar productivity tools.
Be able to handle confidential information with maturity and discretion.
Have strong problem-solving and coordination skills.
Be proactive rather than waiting for instructions.
Be comfortable working with changing priorities and last-minute requirements.
Be able to work independently and take ownership of responsibilities.
