We are looking for a detail-oriented and proactive Tender Executive to manage the end-to-end tendering process for Proactive In & Out Advertising Pvt. Ltd. The candidate will be responsible for identifying relevant tender opportunities, preparing compliant bid documentation, coordinating with internal departments, and ensuring timely and accurate submission of tenders in accordance with government and private-sector requirements.

The ideal candidate should have strong documentation, coordination, commercial evaluation, and follow-up skills, with the ability to manage multiple tenders simultaneously while maintaining accuracy, confidentiality, and adherence to deadlines.

Key Responsibilities & Expertise

- Monitor and identify relevant tender opportunities on government portals, municipal corporation websites, PSU portals, and private tender platforms, particularly those related to OOH (Out-of-Home) advertising and media.
- Review tender documents, eligibility criteria, technical specifications, commercial terms, scope of work, BOQs, EMD requirements, and submission conditions.
- Prepare and compile complete tender submissions, including technical, commercial, financial, and compliance documentation.
- Coordinate with Sales, Operations, Finance, Legal, and Management teams to collect required information and finalize tender submissions.
- Coordinate for preparation and submission of EMD, Performance Bank Guarantees (PBG), Security Deposits, Tender Fees, and other financial instruments as required.
- Prepare and verify BOQs, pricing schedules, commercial bids,



and supporting financial documents in coordination with the relevant teams.
- Ensure all tender documents are accurate, complete, properly signed/stamped, and submitted within the prescribed timelines.
- Maintain a systematic database of tenders, submissions, deadlines, EMDs/BGs, results, and related documentation.
- Track tender status from the initial prospect stage through submission, technical evaluation, financial opening, award, and post-bid activities.
- Handle pre-bid queries, clarifications, corrigenda, amendments, and addenda and communicate relevant updates to internal stakeholders.
- Coordinate with clients/government authorities regarding tender-related queries, document requirements, clarifications, and submissions.
- Monitor tender results and maintain records of successful, unsuccessful, and ongoing bids for future analysis.
- Assist in preparing tender-wise commercial evaluations, competitor analysis, and bid/no-bid recommendations.
- Ensure compliance with all applicable government, municipal, contractual, and company-specific tender requirements.
- Coordinate post-award documentation, including agreements, PBGs, work orders, LOIs/LOAs, and other contractual requirements.
- Maintain confidentiality of sensitive commercial, financial, pricing, and business information.




- Support management in preparing tender-related reports, MIS, and periodic performance summaries.
- Ensure timely follow-up with all internal and external stakeholders to avoid delays in tender submission or post-bid formalities.

Required Skills

- Strong knowledge of tendering and bidding processes.
- Good understanding of government and private tender documentation.
- Excellent MS Excel, MS Word, and documentation skills.
- Robust attention to detail and accuracy.
- Good written and verbal communication skills.
- Strong coordination and follow-up abilities.
- Ability to work under strict deadlines and manage multiple tenders simultaneously.
- Basic understanding of commercial terms, BOQs, EMDs, BGs, PBGs, and contractual documentation.
- Ability to identify discrepancies and ensure complete tender compliance.

Preferred Experience

- Experience in tendering, bidding, contracts, procurement, or commercial operations.
- Experience in OOH advertising/media, infrastructure, municipal, government, or related industries will be an advantage.
- Familiarity with government e-tendering portals and online bid submission processes.
- Experience handling tenders from prospect identification through submission and post-award formalities.

Pay: ₹25,000.00 - ₹45,000.00 per month
