Job Description – HR & Admin Executive

Role Summary
We are looking for a proactive and responsible HR & Admin Executive to manage recruitment, employee records, payroll coordination, statutory compliance, general administration, and day-to-day facility requirements at our manufacturing unit.
Key ResponsibilitiesHuman Resources
- Manage recruitment, candidate screening, interviews, offer letters, onboarding, and induction.
- Maintain employee files, attendance, leave, overtime, shift, and manpower records.
- Coordinate monthly payroll, including salary inputs, deductions, incentives, bonuses, reimbursements, PF, and ESIC.
- Handle joining, confirmation, appraisal, resignation, clearance, and full-and-final settlement processes.
- Prepare appointment, increment, warning, experience, and relieving letters.
- Address employee grievances and maintain discipline across the organisation.
- Monitor absenteeism, employee turnover, manpower requirements, and workplace conduct.
- Coordinate training, employee engagement, performance reviews, and welfare activities.
- Maintain HR policies, SOPs, job descriptions, organisational charts, and HR MIS.
- Support statutory and customer audits by maintaining proper HR documentation.
- Ensure compliance with applicable labour laws, PF, ESIC, professional tax, minimum wages, and factory requirements.
Administration
- Manage housekeeping, security, uniforms, employee transport, and workplace hygiene.
- Monitor office and factory infrastructure, including electricity, water, internet, air-conditioning, and general maintenance.
- Coordinate repairs, preventive maintenance, and service providers.
- Manage administrative vendors and negotiate contracts, rates, and service terms.
- Maintain records of AMC agreements, licences, insurance policies, permits, renewals, and statutory documents.
- Procure and control stationery, uniforms, housekeeping materials, office supplies, and other consumables.
- Coordinate visitor management, travel arrangements, accommodation, meetings, and company events.
- Monitor administrative expenses and verify vendor bills before submission to accounts.
- Ensure proper functioning of CCTV, access control, fire-safety equipment, and other facility systems.
- Coordinate with government departments, consultants, contractors, and local authorities when required.
- Maintain company assets and oversee their issuance, transfer, and return.
Candidate Requirements
- Bachelor’s or Master’s degree in HR, Business Administration, or a related field.
- 3–5 years of relevant experience, preferably in a manufacturing or FMCG organisation.
- Working knowledge of payroll, PF, ESIC, labour laws, factory administration, and statutory records.
- Proficiency in MS Excel, Word, email, and HR/payroll software.
- Solid communication, negotiation, documentation, and problem-solving skills.
- Fluency in Hindi and working proficiency in English.
- Ability to maintain confidentiality and independently manage multiple responsibilities.

Salary: As per experience and industry standards.
Pay: ₹18,000.00 - ₹25,000.00 per month
