The Administrative Assistant is responsible for providing administrative and secretarial support to the Procurement team, coordinating meetings, managing calendars, and overseeing the day-to-day activities of administrative staff. Handling confidential information and preparing reports to support senior management.
Occasional travel to our office in Gurugram is required.
Responsibilities
- Manages and oversees the day-to-day workflow of the administrative team, assigns tasks to administrative assistants, delegates responsibilities,
and implements best practices to enhance the overall efficiency and performance of administrative operations.
- Manages complex, multi-stakeholder calendars for a group of senior staff members — including various team and department heads — ensuring scheduling accuracy, resolving conflicts, and anticipating coordination needs across leadership.
- Prepares executive-level reports and handles confidential information with discretion, ensuring materials are accurate, professionally formatted, and delivered in a timely manner to support leadership decision-making.
- Coordinates meetings end-to-end, including agenda preparation, logistics, attendee communication, materials distribution, and follow-up on action items to ensure continuity and accountability.
- Manages the ordering of supplies and equipment, tracks inventory levels, and liaises with vendors to ensure the department is consistently resourced and operational needs are met without disruption.
- Administers payroll processing for staff eligible for overtime, maintains accurate overtime records, and produces related reports in compliance with internal policies and reporting requirements.
Qualifications
- 3+ years of experience in an administrative or executive assistant role, with demonstrated experience supporting senior-level staff or management teams.
- Strong verbal and written communication skills in English and Hindi.
- Proficiency in office productivity tools (e.g., Microsoft Office Suite, Google Workspace) and calendar management platforms.
- Strong organizational and time management skills, with the ability to manage competing priorities and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a high degree of professionalism and discretion when handling confidential information.
- Prior experience coordinating team workflows, supervising junior administrative staff, or managing payroll processes is a plus.
- Associate's or Bachelor's degree in Business Administration, Office Management, or a related field — or equivalent work experience.

- Our salary range reflects gross base salary. For commercial roles with commission eligibility,
this figure represents On-Target Earnings (OTE), inclusive of base salary and target commission.
- Salary ranges are quoted in USD as a consistent global reference. Your offer will be localized to your country's currency using a market-aligned conversion.
- Final pay is based on objective, job-related criteria including experience, skills, and location.
