The Recruiting Coordinator owns the movement of every recent hire from offer letter to training. This role makes sure each candidate completes every step of the pre-employment process and never gets stuck along the way.
Responsibilities include communicating company and position details to new hires before their start date. This means making sure new hires complete all pre-employment activities, including background checks, drug screenings, and onboarding paperwork such as Section 1 of the I-9 form and company policy acknowledgments. The Recruiting Coordinator tracks each candidate from offer acceptance through background check, drug test, and onboarding, and follows up with any candidate who is not moving forward.
This role works closely with the Recruiting Specialist and Operations team to keep clear communication with new hires at every step. The Recruiting Coordinator connects with every candidate in the pipeline using three points of contact: text, phone, and email.
All candidate activity is managed in our ATS system (SAP SuccessFactors) and tracked in internal trackers using Excel or Microsoft Lists.
Responsibilities
Candidate Movement (Offer Letter to Training)
- Track each new hire in detail, from offer acceptance to the start of training.
- Make sure all pre-employment activities are completed on time for a smooth hiring process.
- Follow up with candidates who are stuck because they have not completed a required action item.
Background Check and Drug Test
- Schedule background checks and drug screenings for each candidate.
- Escalate background check results that need a decision to leadership for adjudication.
- Once a candidate clears the background check and drug test, move them into onboarding.
Onboarding Support
- Help new hires complete onboarding paperwork, including Section 1 of the I-9 form and company policy acknowledgments.
- Be a resource for new hires during onboardin
