Role Description
We are seeking a highly organized, detail-oriented, and service-driven Event Coordinator to support the planning and execution of academic, cultural, corporate, and institutional events at a prestigious university in Bengaluru.
The role requires strong coordination skills, stakeholder management, and the ability to deliver seamless, high-quality experiences for students, faculty, dignitaries, and external guests.




Key Responsibilities
Coordinate end-to-end execution of university events including convocations, conferences, seminars, workshops, cultural festivals, guest lectures, and official ceremonies
Collaborate with faculty, administration, student bodies, and external partners to understand event requirements and objectives
Prepare detailed event plans, schedules, function sheets, and coordination checklists
Manage venue allocation, seating arrangements, stage setup, audio-visual requirements, and logistics
Liaise with internal departments including administration, facilities, IT, security, housekeeping, and transport
Coordinate with external vendors for décor, AV systems, catering, photography, and event production services
Supervise on-ground event execution ensuring smooth flow, timing adherence, and quality standards
Ensure dignitary management, protocol adherence, and guest hospitality arr
