DesignHex is looking for a highly organised, proactive, and dependable Executive Assistant to work closely with the Founder/Director and take ownership of their day-to-day schedule, priorities, and professional commitments.
This role requires someone who is sharp, articulate, discreet, and exceptionally good at managing people, time, and follow-ups. You should be able to anticipate requirements, keep track of multiple moving parts, and ensure that the day runs smoothly without constant supervision.
Key Responsibilities:
Manage the Founder/Director’s day-to-day schedule, calendar, meetings, appointments, and commitments.
Act as the primary point of coordination between the Founder/Director and clients, consultants, vendors, team members, and other stakeholders.
Keep track of ongoing discussions, decisions, follow-ups, and deadlines, ensuring that nothing is missed.
Coordinate and follow up with various teams and individuals on behalf of the Founder/Director.
Prioritise tasks and manage the Founder/Director’s time efficiently.




Ensure that meetings are well coordinated and that all necessary information is available beforehand.
Maintain a explicit understanding of the company’s ongoing activities and priorities to assist the Founder/Director effectively.
Handle day-to-day communication and coordination with professionalism and discretion.
Assist in managing travel, personal appointments, and other commitments as required.
Be proactive in identifying what needs attention and ensuring it is taken care of.
Maintain complete confidentiality regarding company and personal matters.
