Position: Vendor Billing Executive

Job Summary:
We are looking for a detail-oriented Vendor Billing Executive to handle vendor bills, invoice verification, purchase/work order documentation, and payment coordination for our Architecture & Interior Design projects. The candidate will coordinate with vendors, project teams, procurement, and accounts to ensure accurate and timely processing of vendor payments.

Roles & Responsibilities:
- Receive, verify, and process vendor bills, invoices, and supporting documents.
- Verify bills against Purchase Orders, Work Orders, quotations, and agreed commercial terms.
- Coordinate with vendors and project/site teams to resolve billing discrepancies.
- Check quantities, rates, measurements, GST, TDS, discounts, and other applicable deductions.
- Maintain accurate records of vendor invoices, payment status, advances, and outstanding amounts.
- Coordinate with the Accounts team for timely payment processing.
- Track vendor advances and adjust them against subsequent bills.
- Maintain project-wise and vendor-wise billing records and statements.




- Follow up with vendors for pending invoices, documents, and clarifications.
- Prepare regular reports on pending bills, vendor outstanding payments, and billing status.
- Ensure proper documentation and filing of all vendor-related bills and records.
- Support Procurement and Project teams with billing-related requirements.
- Ensure billing is processed accurately as per company policies and project requirements.

Requirements:
- 1–4 years of experience in vendor billing, invoice processing, accounts, procurement, or a similar role.
- Experience in Architecture, Interior Design, Construction, or Real Estate will be preferred.
- Good understanding of vendor invoices, purchase orders, work orders, GST, and basic TDS.
- Good knowledge of MS Excel and basic accounting software.
- Strong attention to detail and numerical accuracy.
