Office of the Dean of Student Welfare (DSW)
Location
K.R. Mangalam University, Sohna Road, Gurugram (Haryana)
Reporting To
Dean of Student Welfare
Employment Type
Full-time, on campus (six-day week; flexibility required on event days)
Scope
Pan-university — all Schools, Departments, Clubs and Societies
2. Position Summary
The Engagement Manager will serve as the single point of ownership for university-level events, creative design and digital engagement under the Office of the Dean of Student Welfare. The role combines three capabilities in one skilled: end-to-end event coordination across all Schools of the University; high-quality design of creatives and presentations for institutional use; management of the University's student-facing social media presence; and sponsorship and revenue generation to make university events increasingly self-sustaining. The incumbent will work closely with the DSW team, School coordinators, student clubs and societies, the Student Council, and external vendors to deliver a vibrant, well-documented and well-publicised campus life.
3. Key Responsibilities
A. University Events (approx. 40%)
Plan, coordinate and execute pan-university events end to end — fests, cultural and technical events, Club Days, orientation/induction programmes, convocations, celebrations of national and commemorative days, and DSW-led initiatives.
Prepare event proposals, budgets, run-of-show schedules and post-event reports for approval of the Dean of Student Welfare.
Manage vendors for staging, sound, light, decor, printing and hospitality; obtain quotations, negotiate and ensure timely delivery within budget.
Handle stage management, protocol and hospitality for chief guests, dignitaries and university leadership.
Coordinate with Schools, faculty coordinators, club heads and the Student Council for participation, volunteers and logistics.
Ensure event documentation — photographs, videos, attendance and reports — is compiled and archived for institutional records and accreditation requirements.
B. Creatives and Presentation Design (approx. 25%)
Design event creatives: posters, standees, backdrops, banners, invitations, certificates, badges and digital flyers, consistent with University brand guidelines.
Prepare high-quality PowerPoint presentations for institutional purposes — event decks, DSW reviews,
leadership presentations and student-facing briefings.
Produce and edit short-format videos (Reels, Shorts, event aftermovies) and coordinate photography/videography coverage of events.
Maintain a library of templates, brand assets and past creatives for reuse across the University.
C. Social Media and Digital Engagement (approx. 20%)
Own the content calendar for the University's student-life social media handles (Instagram, LinkedIn, YouTube) — planning, creating, scheduling and publishing content.
Provide live coverage of events and publish highlights within 24 hours of each event.
Grow reach and engagement through campaigns, collaborations with student creators, and trend-responsive content.
Guide and coordinate the student social media team / interns and School-level social media coordinators.
D. Sponsorships and Revenue Generation (approx. 15%)
Identify, pitch and secure sponsorships (cash and in-kind) from brands, local businesses, banks, ed-tech and youth-focused companies for university fests, Club Days and flagship events.
Prepare professional sponsorship decks, proposals and rate cards; define sponsorship tiers (title, co-powered, associate, in-kind) with clear deliverables for each.
Maintain and grow a sponsor database; build long-term partnerships and ensure repeat sponsorships year on year.
Negotiate terms, draft sponsorship MoUs/agreements in coordination with the Accounts/Legal teams, and ensure timely invoicing and collection of committed amounts.
Ensure end-to-end sponsor fulfilment — branding placement, stall space, stage mentions, social media deliverables — and share post-event sponsorship reports with sponsors.
Explore additional revenue streams for events: stall/kiosk fees, food courts, merchandise, ticketed shows and alumni/community participation, targeting events to be partially or fully self-funded.
4. Candidate Profile
Qualifications and Experience
Graduate in any discipline; degree/diploma in Mass Communication, Media, Design, Event Management or Marketing preferred.
3–6 years of relevant experience in event management,
creative design or social media roles; experience in a university, education or media environment is an advantage.
Technical Skills
Advanced PowerPoint / Google Slides — ability to produce leadership-grade presentations independently.
Canva Pro and Adobe Creative Suite (Photoshop/Illustrator); working knowledge of video editing tools (Premiere Pro / CapCut / VN or similar).
Hands-on command of Instagram, LinkedIn and YouTube content formats, insights and scheduling tools.
Personal Attributes
Proven ability (or strong aptitude) in sponsorship sales — pitching, negotiation and corporate relationship management; an existing network of brand/agency contacts is a distinct advantage.
Strong coordination and interpersonal skills; comfortable working with students, faculty, senior leadership, sponsors and vendors alike.
Excellent written and spoken communication in English and Hindi; sound copywriting ability.
High ownership, ability to manage multiple events and deadlines in parallel, and willingness to work extended hours on event days.
An eye for aesthetics, detail and institutional decorum.
