The Admin & Liaison Officer will work closely with the Managing Director and will be responsible for handling the MD office, administrative requirements, land and legal matters, government liaison, compliance coordination, basic HR, and other operational assignments.
The role requires a highly responsible, organized, proactive, and resourceful individual who can independently coordinate with government offices, lawyers, consultants, vendors, employees, and other external stakeholders.
Key Roles & Responsibilities
Day-to-day assistance to the Managing Director.
Managing the MD's travel schedules, meetings, appointments, and calendar.
Handling land-related matters and coordinating with relevant government offices and authorities.
Coordinating legal matters with lawyers, consultants, government departments, and other stakeholders.
Tracking legal, land, compliance, and administrative matters to ensure timely follow-up and closure.
Managing Google Sheets, Google Calendar, emails, documents, and other digital requirements of the MD's office.
Coordinating between the MD and HODs, employees, clients, consultants, lawyers, vendors, service providers, government officials, and other stakeholders.
Drafting letters, applications, agreements, contracts, notices, and official correspondence as instructed by the MD.
Maintaining records and documentation relating to legal, land, compliance, administrative, and other matters.
Handling office purchases, vendor coordination, and miscellaneous administrative requirements.
Managing basic HR-related activities including employee coordination, attendance, documentation, recruitment coordination, and other routine HR matters.
Coordinating with internal teams to ensure timely execution of tasks assigned by the MD.
Following up rigorously on pending matters and providing regular status updates to the MD.
Handling online and offline purchases and procurement requirements as required.
Performing other administrative, operational, liaison, and special assignments as directed by the MD.
Required Skills & Qualifications
Bachelor's degree preferred.
3-5+ years of relevant work experience.
Good spoken and written English.
Good knowledge of MS Office and Google Workspace.
Good AI and internet research skills.
Strong knowledge of Google Sheets, Google Calendar, email, and online tools.
Excellent follow-up, coordination, planning, and organizational skills.
Ability to coordinate effectively with government offices, lawyers, consultants, vendors, and other external stakeholders.
Ability to independently handle multiple responsibilities and follow through until completion.
Robust documentation and record-keeping skills.
Ability to maintain confidentiality while handling sensitive business, legal, HR, and personal matters.
