Role Overview

We are hiring a Systems & AI Operations Manager to take full ownership of our Zoho software suite (Books, CRM, Desk, Mail, and related apps) and to drive the adoption of AI tools across the organisation. This is a hybrid technical-operations role — part systems administrator, part process improver, part AI champion — reporting into the leadership team.

Key Responsibilities

Zoho Suite Ownership

- Administer, configure, and maintain the Zoho ecosystem (Books, CRM, Desk, Mail, and any additional Zoho apps in use) end-to-end
- Manage user roles, permissions, workflows, custom modules, and automation rules across Zoho applications
- Set up and maintain integrations between Zoho apps and other business systems (e.g., website, payment gateways, third-party tools)
- Troubleshoot day-to-day issues, liaise with Zoho support when needed, and keep the suite running smoothly for all users
- Own data hygiene — clean, structured, and reliable records across CRM, Books, and Desk
- Build and maintain dashboards and reports for sales, finance, and support teams
- Train employees on effective use of Zoho tools and drive adoption across departments

AI Enablement

- Identify practical opportunities to apply AI (including tools like Claude, ChatGPT, or similar) to improve sales, marketing, customer support, finance,



and internal operations
- Build or configure AI-assisted workflows — e.g., automated email drafting, data analysis, content generation, customer query handling
- Stay current with AI tools relevant to a mid-sized industrial B2B company and recommend what's worth adopting
- Support leadership and team members in using AI tools effectively in their daily work

Process & Coordination

- Work closely with Sales, Finance, and Support teams to understand their workflow needs and translate them into Zoho configurations
- Document processes, SOPs, and system configurations for internal reference
- Proactively suggest automation and efficiency improvements across departments

Required Skills & Experience

- 2–5 years of hands-on experience administering the Zoho suite (Zoho CRM, Zoho Books, Zoho Desk, Zoho Mail at minimum)
- Demonstrated proficiency with AI tools (e.g., ChatGPT, Claude, or similar) for practical business use — not just casual use, but applied experience
- Strong understanding of business workflows in sales, finance, or customer support
- Comfortable with basic automation/scripting concepts (Zoho Deluge, APIs, or similar is a plus)
- Excellent problem-solving skills and attention to detail
- Good communication skills — able to train non-technical colleagues on new tools and processes
- Bachelor's degree in IT, Computer Science, Business, or a related field

Good to Have

- Experience in an industrial, B2B, or manufacturing workplace
- Familiarity with Zoho Writer, Zoho Analytics, or Zoho Flow
- Exposure to CRM data migration or systems consolidation projects
- Prior experience setting up AI-powered chatbots or automated workflows
