About the Role

Kamsons Polymers Limited is looking for a responsible and detail-oriented Stores & Inventory Executive to manage the daily inward, outward and physical movement of materials at our manufacturing plant.

The candidate must have prior hands-on experience using Zoho Inventory and should be capable of ensuring that the physical stock available at the plant matches the stock recorded in the system. The candidate should also have basic knowledge of AI tools such as ChatGPT for preparing reports, drafting communications and improving routine administrative work.

Key Responsibilities1. Inward Material Management

- Record all inward materials in Zoho Inventory accurately and on time.
- Handle the inward entry of:
- Raw materials
- Packing materials
- Engineering and maintenance materials
- Machinery, equipment and spare parts
- Consumables and other materials received at the plant
- Verify received quantities against purchase orders, delivery challans and supplier invoices.
- Coordinate with the Quality Control Department for material inspection and approval wherever required.
- Prepare and maintain Goods Receipt Notes and other inward documentation.
- Record shortages, excess quantities, rejected materials and damaged materials immediately.
- Ensure proper batch, lot and expiry-date recording wherever applicable.

1. Outward Material and Finished Goods Management

- Record all outward movement of finished goods accurately in Zoho Inventory.
- Verify product name, batch number, quantity, packaging type and customer details before dispatch.
- Coordinate with the production, dispatch, sales and accounts teams for timely dispatches.
- Ensure that delivery challans, invoices and dispatch documents match the actual material being sent.
- Maintain records of samples, returnable materials, rejected goods and other non-sales outward movements.
- Record inter-location and inter-warehouse stock transfers correctly.

1. Daily Inventory Control

- Maintain accurate stock records for raw materials, packing materials, finished goods, spares and consumables.
- Update Zoho Inventory on the same day as the physical material movement.




- Ensure that no inward or outward material remains unrecorded.
- Conduct daily checks of important or fast-moving inventory items.
- Perform periodic physical stock verification and reconcile it with Zoho Inventory.
- Investigate and report stock shortages, excess stock and system discrepancies.
- Ensure that stock adjustments are made only after proper approval from management.
- Maintain proper storage, identification, labelling and traceability of materials.

1. Zoho Inventory Management

- Independently operate Zoho Inventory for day-to-day plant inventory activities.
- Create and manage item receipts, bills, packages, shipments, transfer orders and inventory adjustments, as applicable.
- Maintain correct item names, units, warehouses, batch details and stock locations.
- Generate daily, weekly and monthly inventory reports.
- Identify incorrect, duplicate or incomplete entries and coordinate for their correction.
- Assist management in improving Zoho Inventory processes and controls.
- Coordinate with the office accounts and sales teams to ensure that physical stock, Zoho Inventory and commercial documents remain aligned.

1. AI Tools and Digital Support

- Use ChatGPT or similar AI tools for preparing routine reports, emails, summaries and internal communications.
- Use AI tools to improve the clarity and presentation of inventory-related reports.
- Assist in preparing basic checklists, standard operating procedures and process documents.
- Verify all AI-generated information before using or sharing it.
- Maintain the confidentiality of company, supplier, customer and inventory information while using AI tools.

1. Coordination and Reporting

- Coordinate with Purchase, Production, Quality Control, Maintenance, Dispatch, Sales and Accounts.
- Share a daily inventory movement report covering:
- Material received
- Finished goods dispatched
- Stock transfers
- Rejected or damaged materials
- Pending entries
- Physical and system stock differences
- Immediately escalate any major shortage,



incorrect dispatch or inventory discrepancy.
- Support internal stock audits and statutory audits by providing accurate records and documents.

Candidate Requirements
- Graduate in Commerce, Supply Chain, Logistics or a related discipline.
- Minimum 2–4 years of experience in stores, warehouse or inventory management.
- Prior hands-on working experience with Zoho Inventory is mandatory.
- Basic working knowledge of ChatGPT or similar AI tools is required.
- Experience working in a manufacturing plant is strongly preferred.
- Experience in chemicals, paints, coatings, polymers or related manufacturing industries would be an advantage.
- Good knowledge of inward, outward, stock transfers, inventory adjustments and stock reconciliation.
- Working knowledge of Microsoft Excel, email and basic computer applications.
- Ability to understand invoices, purchase orders, delivery challans and material documentation.
- Strong numerical ability and attention to detail.
- Honest, systematic, responsible and capable of maintaining accurate daily records.
- Comfortable coordinating with factory and office teams.

Key Performance Indicators The employee’s performance will be measured based on:
- Accuracy of physical stock versus Zoho Inventory
- Same-day completion of inward and outward entries
- Reduction in unrecorded or incorrect material movements
- Accuracy of batch, quantity and packaging records
- Timely submission of inventory reports
- Proper documentation of shortages, rejections and damages
- Successful completion of physical stock verification
- Responsiveness to inventory-related queries from management
- Effective and responsible use of AI tools for reporting and communication

Key Requirement Candidates without practical, hands-on experience in Zoho Inventory should not apply. Shortlisted candidates may be asked to demonstrate their ability to perform common Zoho Inventory transactions and use ChatGPT to prepare a short professional inventory report during the interview.

Pay: ₹18,000.00 - ₹23,000.00 per month
