Job Overview
We are seeking an exceptionally organized, tech-savvy, and proactive Executive Assistant (EA) to the Principal to join our team. The ideal candidate will serve as the primary administrative partner to the Principal, streamlining daily operations, managing communications, coordinating calendar and event schedules, and leveraging modern digital tools and AI applications to maximize administrative efficiency.
1. Key Responsibilities
- Executive Support & Calendar Management:
- Manage and coordinate the Principal’s daily appointment calendar, scheduling meetings, interviews, and school events.
- Screen and prioritise incoming communications (emails, phone calls, visitors) and draft correspondence on behalf of the Principal.
- Prepare meeting agendas, compile background documentation, take precise minutes of meetings (MOMs), and track follow-up action items.
- Reporting & Presentation Support:
- Create high-quality PowerPoint presentations, reports, spreadsheets, and official documentation for board meetings, staff briefings, and parent communications.
- Maintain and analyse academic and administrative datasets using advanced MS Excel (vlookups, pivot tables, formulas, data management).
- Utilize AI tools (e.g., ChatGPT, Claude, AI drafting tools) to automate routine administrative tasks, enhance content creation, and improve operational productivity.
- Stakeholder Interaction & Front-Office Liaison:
- Act as a professional point of contact between the Principal and parents, faculty members, school leadership, management, and external visitors.
- Handle confidential information, student records, and sensitive school matters with high discretion and integrity.
- Assist in organizing major school events, workshops, accreditation visits, and parent-teacher meetings.
2. Requirements & Qualifications
- Education: Graduate/Postgraduate degree in Business Administration, Communications, English, or a related field.
- Experience:
- Prior experience as an Executive Assistant, Personal Assistant, or Senior Administrative Officer, preferably in an educational institution or corporate setup.
- Technical Skills:
- Advanced MS Excel & PowerPoint: Proficient in creating executive decks, data reports, and managing complex spreadsheets.
- AI & Digital Tools: Hands-on experience or working familiarity with contemporary AI tools, automation software, and Google Workspace / MS Office.
- Communication & Interpersonal Skills:
- Excellent command of verbal and written English with strong professional drafting capabilities.
- Solid organizational and multi-tasking skills with sharp attention to detail.
3. Salary & Benefits
- Salary Range: ₹30,000 – ₹40,000 per month (Monthly Gross, negotiable based on experience)
- Employment Type: Full-time (Onsite)
