About this role

We are looking for a highly organized, proactive, and execution-focused Program Manager Portfolio Operations to oversee the end-to-end operational delivery of the TETR College of Business and Masters' Union portfolio.

This is a central portfolio operations role responsible for ensuring that all programs across both institutions are planned, coordinated, and delivered seamlessly from an operational standpoint.

The Program

Manager will act as a key operational bridge between senior leadership and multiple internal and external stakeholders, ensuring that programs move smoothly from planning to execution. The role will involve managing the operational lifecycle of multiple programs simultaneously, including academic calendars, student journeys, faculty coordination, events, international travel, accommodation, transportation, venues, vendors, budgets, logistics, and on-ground execution.

Specifically, this role will involve

- Owning the end-to-end operational management of programs across the TETR College of Business and Masters' Union portfolio.
- Building and maintaining a consolidated operational view of all active and upcoming programs.
- Developing comprehensive program calendars covering academic activities, student experiences, events, travel, international immersions, faculty engagements, and key milestones.
- Ensuring all programs are operationally planned and ready for execution well in advance.
- Establishing clear operational ownership, timelines, dependencies, and escalation mechanisms for each program.
- Coordinating multiple programs and cohorts running simultaneously across different locations.
- Monitoring overall portfolio readiness and proactively identify operational gaps.
- Ensuring seamless execution from program planning through delivery and closure.
- Creating standardized operating frameworks that can be applied across different programs and institutions.
- Leading the detailed operational planning of programs from inception through completion.
- Translating program objectives into detailed operational plans, timelines, budgets, and execution roadmaps.
- Creating program-level project plans, critical paths, milestone trackers, and operational checklists.
- Identifying dependencies across teams and ensure timely completion of critical activities.
- Conducting regular program readiness reviews with internal stakeholders.




- Tracking risks, issues, and action items and ensure timely resolution.
- Managing program changes and evolving requirements without compromising delivery quality.
- Ensuring all operational deliverables are completed within agreed timelines and budgets.
- Leading post-program reviews and implement learnings into future program cycles.
- Owning the operational aspects of the student journey across the portfolio.
- Ensuring seamless student onboarding, orientation, registration, scheduling, travel, accommodation, transportation, events, and program logistics.
- Working closely with Student Experience teams to ensure students receive a consistent and high-quality experience.
- Establishing clear processes for managing student queries, escalations, complaints, and operational challenges.
- Ensuring timely communication of operational information to students.
- Coordinating student movement across campuses, cities, and international destinations.
- Developing contingency plans for student emergencies, travel disruptions, and unexpected operational situations.
- Monitoring student feedback and identify opportunities to improve operational delivery.
- Managing the operational planning of domestic and international student travel across the portfolio.
- Coordinating flights, airport transfers, ground transportation, accommodation, visas, permits, and local logistics.
- Working with travel agencies and mobility partners to ensure smooth student and faculty movement.
- Developing travel plans and detailed itineraries for student programs and international immersions.
- Ensuring all travel-related operational requirements are completed within timelines.
- Establishing processes for managing travel delays, cancellations, disruptions, and emergencies.
- Ensuring appropriate documentation and tracking of student and faculty travel.
- Working closely with regional and international operations teams to ensure seamless execution across locations.
- Supporting programs that require students and faculty to travel across multiple countries or cities.
- Overseeing the operational planning and execution of academic, corporate, networking, cultural, and student events.
- Managing the full event lifecycle from planning and budgeting through execution and closure.
- Coordinating venues, production, hospitality, FB, transportation, security, staffing, guest management, and vendor requirements.
- Ensuring events are delivered on time, within budget, and to the expected quality standards.
- Conducting venue visits, site inspections, operational walkthroughs, and event readiness checks.
- Acting as the central operational point of contact during major events and program activities.
- Managing real-time operational challenges and last-minute changes during events.
- Developing event SOPs, checklists, and playbooks to standardize execution.
- Conducting post-event reviews and implement learnings across future events.
- Coordinating with Academic and Program teams to ensure operational readiness for academic delivery.
- Managing operational requirements related to faculty, visiting professors, industry experts, and guest speakers.
- Coordinating faculty travel, accommodation, transportation, schedules, and on-ground requirements.
- Ensuring classrooms, learning spaces, technology, and other academic facilities are operationally ready.
- Supporting the coordination of academic calendars and program schedules.
- Ensuring faculty and academic stakeholders have the operational support required for seamless program delivery.
- Resolving operational issues that may impact academic delivery.
- Managing the operational ecosystem of vendors and service providers across the portfolio.
- Identifying, evaluating, onboarding, and managing vendors across travel, accommodation, transportation, events, facilities, production, and other services.
- Negotiating commercial terms and service agreements in coordination with relevant internal teams.
- Establishing clear SLAs, deliverables, and performance standards.




- Monitoring vendor performance and ensure timely resolution of service issues.
- Building a reliable network of preferred vendors across key locations.
- Identifying opportunities for vendor consolidation and portfolio-level cost efficiencies.
- Maintaining strong vendor relationships while ensuring accountability and service quality.
- Supporting the development and management of operational budgets across the Tetr and Masters' Union portfolio.
- Tracking program-level operational expenses against approved budgets.
- Monitoring vendor costs, travel expenses, event costs, accommodation, transportation, and other operational expenditures.
- Identifying cost-saving opportunities without compromising student experience or program quality.
- Working closely with Finance to ensure accurate forecasting, approvals, purchase orders, invoices, and payments.
- Maintaining clear visibility into program-level budgets and cost commitments.
- Providing regular financial and operational updates to senior leadership.
- Acting as the central operational point of contact across Academic, Student Experience, Admissions, Marketing, Partnerships, Finance, People, and Operations teams.
- Ensuring all teams are aligned on program timelines, dependencies, and deliverables.
- Leading regular cross-functional program reviews and operational meetings.
- Maintaining clear action trackers and ensure accountability across stakeholders.
- Identifying bottlenecks and resolve cross-functional dependencies.
- Ensuring timely escalation of critical issues to senior leadership.
- Building strong working relationships across functions and ensure effective communication.
- Building and implementing standardized SOPs, checklists, templates, and operating playbooks across the portfolio.
- Developing scalable operational processes that can be replicated across programs and locations.
- Establishing portfolio-level dashboards to track program readiness, risks, budgets, and operational performance.
- Creating centralized systems for program calendars, vendor databases, travel plans, event trackers, and operational documentation.
- Continuously identifying process inefficiencies and implement improvements.
- Leveraging technology and automation to improve operational visibility and reduce manual work.
- Ensuring all critical operational processes have clear owners, timelines, and escalation mechanisms.
- Identifying operational risks across programs and develop mitigation plans.
- Maintaining risk registers for major programs and initiatives.
- Developing contingency plans for travel disruptions, vendor failures, event issues, facility challenges, and student emergencies.
- Acting as an operational escalation point during critical incidents.
- Coordinating with relevant internal teams and external partners during emergencies.
- Ensuring appropriate communication and escalation protocols are followed.
- Conducting post-incident reviews and implement corrective actions.
- Developing regular operational reports for senior leadership.
- Providing consolidated visibility into program readiness, operational risks, budgets, and key dependencies.
- Tracking portfolio-level KPIs and operational performance.
- Highlighting critical issues requiring leadership intervention.
- Providing recommendations to improve operational efficiency and program delivery.
- Maintaining accurate and up-to-date portfolio dashboards and trackers.
- Supporting senior leadership in making data-driven operational decisions.

Ideal candidate will have

- 510 years of experience in program management, operations, project management, events, education, hospitality, consulting, or a related field.
- Experience managing complex programs with multiple stakeholders and workstreams.
- Solid experience in end-to-end program and project management.
- Experience managing events, student programs, travel, logistics, or experiential programs will be highly valued.
- Strong ability to manage multiple programs simultaneously.
- Excellent organizational and project management skills.
- Strong attention to detail and execution discipline.
- Excellent stakeholder management and communication skills.
