Alliance Executive – Travelxp
Location: Oshiwara, Mumbai
Type: Full-time
Experience: 0-2 years (Internship experience in Alliances / Film Production / Media required)
CTC: 4.5 LPA
Important Note: The first month will be a training/assessment period, with a stipend of ₹7,500.
About the Role The Alliance Executive is a production-focused role responsible for connecting Travelxp’s internal production teams with tourism boards, consulates, government bodies, hotels, airlines, DMCs, international partners, and other external stakeholders to facilitate the successful execution of Travelxp productions.
The role involves taking production requirements and converting them into actionable plans, coordinating permissions and partnerships, managing logistics, supporting budgets, and ensuring that shoots are executed as planned.
This is primarily an office-based role (approximately 80%), with travel opportunities based on production requirements and the individual’s performance, ownership, reliability, and skillset. Travel opportunities will be evaluated and assigned by the reporting manager.
The role is suited to someone who is highly organised, proactive, resourceful, and capable of building systems and solutions independently rather than waiting for instructions at every stage.
Key Responsibilities
1. Partnerships & Pre-Production
- Work closely with Program Directors, Producers, Scriptwriters, Production, and other internal teams to understand filming requirements and convert them into actionable production plans.
- Coordinate with tourism boards, tourism ministries, consulates, government authorities, and international partners for filming permissions, access, collaborations, and destination support.
- Identify and develop relationships with potential international partners relevant to Travelxp productions.
- Coordinate with hotels, airlines, DMCs, attractions, restaurants, activity providers, and other tourism stakeholders for production support and partnerships.
- Explore and negotiate barter and value-exchange arrangements, including location access, accommodation, experiences, transportation, and other production requirements.
- Maintain and regularly update a structured database of national and international partners, contacts, permissions, previous collaborations, and future opportunities.
- Assist in location research and scouting based on the creative and production requirements of each project.
- Develop detailed filming itineraries, including locations, activities, travel time, contact details, operational requirements, and filming windows.
- Coordinate travel and logistical requirements for production teams, presenters, and other stakeholders.
- Assist in preparing production budgets and quotations and track expenditure against approved budgets.
- Coordinate with talent, local representatives, production companies, and other external stakeholders before filming.
- Ensure that all necessary permissions, confirmations, documents, and deliverables are secured before the production team travels.
2. Production & On-Ground Execution
- Act as a key coordination point between the Travelxp production team and local partners/stakeholders during filming.
- Ensure that the approved itinerary and production plan are being executed as scheduled.
- Coordinate with locations, tourism partners, hotels, DMCs, guides, transport providers, and other stakeholders on a day-to-day basis.
- Ensure that all locations and experiences committed in the approved itinerary are filmed, subject to operational feasibility and production requirements.
- Monitor the daily filming schedule and proactively identify delays, conflicts, or potential operational issues.
- Handle last-minute changes and on-ground challenges quickly and professionally.
- Anticipate potential risks and resolve issues before they escalate or impact filming.
- Maintain clear communication between the Director, Production Team, local partners, and Travelxp office.
- Maintain a record of locations filmed, locations missed, changes made to the itinerary, and reasons for any deviations.
- Submit a daily production update/report covering filming completed, pending activities, key issues, and the plan for the following day.
- Maintain and submit daily expense records and supporting documentation as required.
3. Budget & Documentation Management
- Assist the production team in preparing and monitoring production budgets.
- Track commitments and actual expenditure against approved budgets.
- Ensure that expenses are supported by appropriate bills, invoices, receipts, and other documentation.
- Identify potential cost overruns in advance and escalate them to the reporting manager.
- Maintain organised records of permissions, contracts, confirmations, partner commitments, quotations, invoices, and production-related correspondence.
- Ensure that all required production documentation is completed and submitted within stipulated timelines.
4. Post-Shoot & Partner Management
- Ensure timely submission of final expense statements, production reports, and other post-shoot documentation.
- Complete the formal closure of permissions, partnerships, and other production commitments after filming.
- Track any outstanding partner deliverables and ensure they are completed.
- Send professional post-production communication and appreciation/thank-you emails to tourism boards, government bodies, hotels, airlines, DMCs, attractions,
and other partners involved in the production.
- Maintain long-term relationships with partners for potential future Travelxp productions.
- Communicate the confirmed telecast/airing schedule of relevant episodes to participating partners where applicable.
- Maintain a record of partner feedback, future opportunities, and potential collaborations.

- Comfortable communicating with senior stakeholders, international partners, government representatives, and external vendors.
- Willingness to travel for production assignments when required. Travel opportunities will be determined by the reporting manager based on business requirements, performance, reliability, and skillset.
- Valid passport or proof of passport application is mandatory.
