Position: Patient Relations Executive

Department: Patient Relations / Front Office

Location: Women & Children Hospital

Reporting To: Patient Relations Manager / Hospital Administrator

Job Purpose To provide a welcoming, supportive, and patient-focused experience to women, children, parents, attendants, and visitors by assisting with hospital services, coordinating patient needs, resolving concerns, and ensuring smooth communication between patients and hospital departments.

Key Responsibilities

- Welcome and assist patients, parents, attendants, and visitors in a courteous and professional manner.
- Understand patient and attendant requirements and guide them to the appropriate hospital department or service.
- Assist patients with registration, appointments, admissions, billing coordination, diagnostics, pharmacy, discharge, and other hospital services.
- Coordinate with clinical and non-clinical departments to facilitate smooth patient movement and service delivery.
- Attend to patient and attendant queries and provide accurate information within the scope of the role.
- Receive, record, and coordinate resolution of patient complaints and feedback.
- Follow up on complaints and ensure timely communication with patients/attendants.
- Assist in managing waiting areas and help minimize patient inconvenience.
- Provide special assistance to pregnant women, mothers, children, elderly attendants, and patients requiring additional support.
- Coordinate with nursing, doctors, billing, insurance/TPA, diagnostics, pharmacy, housekeeping, and security teams as required.




- Support patients and attendants during admission and discharge processes.
- Explain hospital processes, policies, visiting guidelines, and available services in a clear and patient-friendly manner.
- Conduct patient satisfaction calls/feedback collection and maintain appropriate records.
- Identify urgent or sensitive patient concerns and immediately escalate them to the appropriate senior authority.
- Maintain confidentiality of patient information and comply with hospital policies and applicable privacy requirements.
- Maintain daily reports, complaint registers, feedback records, and other departmental documentation.
- Assist in patient experience initiatives, awareness programs, health camps, and hospital events.
- Maintain professional conduct and a child-friendly, empathetic approach at all times.
- Perform other patient-service-related duties assigned by the reporting manager.

Qualifications & Experience
- Graduate in any discipline; preferably Healthcare Management, Hospital Administration, Nursing, Life Sciences, or a related field.
- Prior experience in a hospital, clinic, healthcare organization, front office, customer service, or patient relations role is preferred.




- Experience in a women & children hospital or pediatric/maternity healthcare setting will be an advantage.
- Freshers with good communication and customer-service skills may also be considered.

Working Conditions The role involves working in a hospital environment with direct interaction with patients, children, parents, attendants, doctors, nurses, and other hospital staff. The executive may be required to work in rotational shifts, weekends, and holidays as per hospital requirements.

Important: The Patient Relations Executive must maintain strict confidentiality of patient information and demonstrate extra sensitivity and patience while dealing with children, mothers, pregnant women, and distressed attendants.
