Responsibility of / Expectations from the Role Platform Ownership & Governance

- Act as the L3 escalation point for all OpenText archival platform issues.
- Define and maintain archival governance, standards, and operating procedures.
- Design archival strategies aligned to enterprise compliance requirements.
- Ensure platform availability, scalability, and performance.

Archival Lifecycle Management

- Oversee ingestion, classification, retention, retrieval, legal hold, and disposition processes.
- Review and optimize retention schedules and archival workflows.
- Ensure long-term preservation requirements are met across business units.

Architecture & Solution Design

- Design archive onboarding solutions for:

- SharePoint Online

- Microsoft Teams

- OneDrive

- Exchange Online

- Legacy File Shares

- Enterprise Applications
- Lead archive architecture reviews and modernization initiatives.
- Drive automation opportunities across archival operations.

Compliance & Legal Hold

- Define legal hold strategies and governance controls.
- Partner with Legal, Compliance, and Records Management teams.
- Ensure audit readiness and regulatory compliance.
- Support GxP validation and inspection activities.

Search & Retrieval

- Manage complex archive retrieval requests.
- Support investigations, legal discovery, and regulatory inspections.
- Ensure integrity and chain-of-custody requirements are maintained.

Vendor & Stakeholder Management

- Coordinate with OpenText and third-party vendors for critical issues.
- Lead root cause analysis for high-impact incidents.
- Participate in strategic roadmap planning and platform enhancements.

Continuous Service Improvement

- Implement automation and process optimization initiatives.
- Define KPIs, operational dashboards, and performance metrics.
- Drive reduction of archival failures and improve retrieval efficiency.
