Job PurposeThe ISM Coordinator will be responsible for coordinating and maintaining the company's International Safety Management (ISM) Code requirements across offshore vessels and marine operations. The position will ensure effective implementation of the Safety Management System (SMS), compliance with applicable statutory and regulatory requirements, and continuous improvement of safety and environmental performance.

The role will involve close coordination with vessel Masters, Chief Engineers, offshore operations teams, DPA, QHSE, technical departments, flag-state authorities, class societies, and other relevant stakeholders.

Key Responsibilities1. ISM / Safety Management System

- Coordinate implementation and continual improvement of the company's Safety Management System (SMS).
- Ensure vessels operate in accordance with the ISM Code and company procedures.
- Maintain and control ISM/SMS documentation, manuals, procedures, forms, and records.
- Coordinate amendments and revisions to SMS documentation as required.
- Monitor vessel compliance with company policies and approved procedures.

2. Vessel Compliance & Certification

- Monitor validity of statutory, class, flag-state, ISM, ISPS and other applicable certificates.
- Coordinate preparation for DOC/SMC audits, flag-state inspections, class audits, port-state-control inspections and external audits.
- Follow up on observations, deficiencies, non-conformities and corrective actions until closure.
- Maintain appropriate records of inspections, audits and certification.

3. Audits & Inspections

- Coordinate internal ISM audits and vessel inspections.
- Assist in planning and conducting shore-based and vessel audits.
- Review audit findings and ensure timely implementation of corrective and preventive actions.
- Track recurring observations and identify areas requiring improvement.

4. Incident / Near-Miss Management

- Coordinate reporting and documentation of accidents, incidents, near misses and unsafe conditions.
- Assist in investigation of incidents and identification of root causes.
- Monitor implementation of corrective and preventive actions.




- Maintain incident statistics and prepare periodic safety reports.

5. Risk Management

- Coordinate vessel and operational risk assessments.
- Ensure appropriate Risk Assessments, Job Safety Analysis (JSA), Permit to Work (PTW) and related safety procedures are implemented.
- Support identification of operational hazards and recommend suitable control measures.

6. Emergency Preparedness

- Coordinate emergency preparedness and response requirements under the SMS.
- Ensure emergency drills and exercises are conducted as required.
- Review drill reports and follow up on identified deficiencies.
- Assist in maintaining and testing emergency response procedures.

7. Training & Safety Awareness

- Coordinate ISM/SMS-related training and familiarization for vessel and shore personnel.
- Promote a strong safety culture across offshore operations.
- Monitor training records, competency requirements and safety awareness initiatives.

8. Regulatory Compliance

- Keep abreast of applicable requirements under IMO, ISM Code, SOLAS, MARPOL, STCW, MLC, ISPS, Flag State, Class and relevant coastal-state regulations.
- Communicate applicable regulatory changes to concerned departments and vessels.
- Ensure compliance requirements are incorporated into the company's SMS where applicable.

9. Documentation & Reporting

- Maintain accurate ISM and QHSE records.
- Prepare monthly/periodic safety and compliance reports for management.
- Maintain action trackers for audits, inspections, incidents and corrective actions.
- Ensure proper document control and record retention.

Key InterfacesThe ISM Coordinator will regularly coordinate with:
- Vessel Masters and Chief Engineers
- DPA
- Marine Superintendent
- Technical Superintendent
- QHSE/HSEQ Department
- Offshore Operations Team
- Crewing/Training Department
- Class Society
- Flag State Authorities
- Port State Control
- Auditors and third-party inspection agencies
- Clients and other marine stakeholders

Qualifications
- Bachelor's degree/Diploma in Marine Engineering,



Nautical Science, Maritime Studies, QHSE, or a related discipline.
- Relevant certification/training in ISM Code / Internal Auditor is preferred.
- Additional qualifications in QHSE, maritime safety or marine operations will be an advantage.

Experience
- 5–8 years of relevant experience in marine/offshore shipping, preferably in ISM, QHSE, marine operations, vessel management or safety management systems.
- Experience working with offshore vessels, preferably OSV/AHTS/PSV/Diving/Construction or other offshore support vessels, will be an advantage.
- Practical experience with vessel audits, inspections, incident investigations and SMS implementation.
- Experience dealing with Class, Flag State and Port State Control requirements is preferred.

- Proficiency in MS Office and documentation systems.
